Work Instruction

The Work Instruction feature in Zoho Lens helps streamline field operations by enabling technicians to create, assign, and execute step-by-step task flows. Whether used during a live session or independently via a scanned QR code, it ensures consistency, compliance, and clarity in task execution. Technicians can attach references, mark steps as mandatory, and track session outcomes through detailed reports.

How to create a work instruction 

  1. Go to the Zoho Lens > Work Instruction.
  2. Click Create Work Instruction to get started.
  3. Enter a suitable title (max 200 characters) and description (max 500 characters) and click Add Instruction. To create a work instruction, you must add at least one instruction.
  4. Type the instruction (max 500 characters) in the pop up window. If needed, you can mark it as mandatory. If marked as mandatory, then it can’t be skipped by the field technician while executing the work instruction
  5. Attach supporting images if needed (PNG, JPG, JPEG up to 5 MB each). You can also add comments to each attachment.
  6. To add more instructions, click Save & Add New. This will save your current instruction and keep the pop-up open for adding the next instruction.
  7. Once you're done adding instructions, click Save & Close.
  8. After adding all instructions, you can reorder them via drag-and-drop. Attachments can also be reordered this way.
  9. Click Create to save your work instruction.
  10. Clicking Cancel and Save as draft will preserve your progress.
  11. You can edit the draft later at any time.
  12. You can also edit saved work instructions by clicking the three-dot icon on the work instruction card and selecting Edit.
Notes
 Note: Draft work instructions will not appear for execution for technicians during remote sessions.   
  1. Once created, the instruction will be listed under the Work Instruction tab.
  2. Each instruction has a unique QR code. Click the QR icon to generate a unique QR code. You can download and stick this QR on the relevant machinery or equipment.

How to access the created work instruction 

In-session work instruction    

  1. During an active Zoho Lens session, the technician can access the Work Instruction tab from the toolbar.
  2. The list of available work instructions in your organization will be displayed.
  3. To view details, click on a work instruction card.
  4. To start execution, hover over the card and click Execute.
Notes
Note: Only the primary technician can initiate work instruction during a session. However, progress is visible to all technicians in that session.

Off-session work instruction    

Customer or end technician can access the Work instruction without an active session using either of the following methods:

1. QR Code scan  

  1. The customer opens the Zoho Lens app, chooses Work instruction, and taps the scanner icon at the bottom-right corner.
  2. Scan the QR to view the details instantly and thereby access the linked work instruction.

2. Access via the Work Instruction tab  

  1. The end technician can open the Zoho Lens app and go to the Work Instruction tab.
  2. Under My Work Instruction, all the available work instructions will be listed.
  3. Choose any work instruction and tap Start to begin execution.

How to execute a work instruction  

In-session work instruction    

  1. Once the work instruction is executed by the technician during an active session, the customer will receive a pop-up with Start and Cancel options, as shown below.

Note: If the customer stops camera sharing, the session will pause automatically, but progress will be saved. The work instruction session can resume only when the customer's video stream is active.
  1. The customer can assign a Pass or Fail status for each instruction and optionally add remarks or multiple evidence files.
  2. To add remarks, click the second icon at the bottom left, type your input, and click Save (only one remark per instruction is allowed).
  3. To add evidence, click the first icon at the bottom left and capture the screen. An annotation is supported. You can also rename the evidence and add comments. Multiple evidence is allowed for each instruction.      

  4. After providing remarks or evidence, click Pass or Fail to proceed to the next instruction. 
  5. Once the customer submits evidence and remarks, all technicians can view the inputs—status, remarks, and evidence—along with the overall session progress by clicking the respective instruction number.
  6. The customer can track session progress and view a summary by tapping the Instruction Details icon (left).  Customer can also navigate directly to any work instruction by clicking its number. Skipping is allowed for non-mandatory instructions.

  7. To view details for a specific instruction, the customer can tap its number to see the associated evidence and remarks.

  1. After completing all steps, the customer or end technician can click Submit Work Instruction. A confirmation dialog will appear—click Submit to finalize.

  2. Once submitted, the work instruction session summary will be shown to the technician as shown below.


Notes
Note: Mandatory instructions must be completed to submit the session. If the customer stops sharing their camera stream, the session will pause automatically, but the progress will still be saved. 

Off-session work instruction     

The offline execution process follows the same steps as the in-session flow.
  1. Once started, the work instruction session begins, and progress can be tracked.
  2. If the session is exited midway, progress is auto-saved and shown under the My Work Instruction tab. You can resume it anytime.

  3. Completed sessions appear under the Completed tab, where you can review summaries.

How to view work instruction reports  

  1. Navigate to Reports → Work Instruction Session Count. Here, you’ll find records of both in-session and off-session executions.
  2. Use filters to narrow down by the type of work instruction, technician, or session type.
  3. Click on any session row to view its summary with details such as work instruction status, remarks, evidence, and comments.

 Note: Only instructions that have been answered during the session will be included in the summary.
