Migration to the new integration setup

We're revisiting how Zoho Marketing Automation integrates with other applications and have implemented some important changes in the integration process. You need to migrate to this new setup before you migrate to Zoho Marketing Automation 2.0.  
 
In this document, we have listed all the generic changes, as well as a few specific changes based on the application you are integrating or syncing. 

 Reasons for this update    

We're revisiting the integration process for the following reasons:
  1. Provide administrators a central control for integration and syncing contacts from other applications.
  2. Make it easier to manage data across different applications. In the new model, a single sync in each module will be sufficient to migrate all data from the other application. This makes it easier to manage data compared to the older integration model.
  3. Avoid redundant sync process. When two or more members of the organization create a sync with the same application, then the similar process takes place twice. This is unnecessary, and the new integration model aims to curb such redundant process.

 Generic changes in the new integration and sync setup   

  1. Only users with the administrative role can migrate to the new setup.
  2. Once you've migrated to the new integration setup, you cannot revert to the old setup.
  3. Migrate to the latest Topic version before proceeding with this migration as the new integration model supports the updated version of Topics.
  4. You must be the organization administrator in both Zoho applications to perform the integration and sync.
  5. Only an Admin can integrate and sync with third party applications. Only one account per organization can be integrated and synced for all applications.
  6. All contacts will be synced into Zoho Marketing Automation. The synced contacts can be maintained as segments with specific criteria to send targeted emails to the appropriate set of contacts.
  7. In case of multiple accounts, except for the selected account, all remaining synced accounts will be removed from the new integration model. 

 How to migrate to the new setup

  1. Click Switch to new version option on the dashboard.
  2. Migrate to the latest Topic version, if you haven't completed it.
  3. The list of integrations that need migration will be listed.
  4. The changes involved with the respective migration will be listed. Read them and click Migrate and Proceed.
  5. If you've integrated multiple accounts with a service, you need to choose one account and that will be retained after migration. Click Migrate and Proceed.

 Changes in the Zoho applications integration setup   

 Zoho CRM  

  1. Existing syncs will be migrated and supported in the revamped set up briefly. 
  2. Custom and criteria-based views cannot be configured
  3. Existing instant syncs with All Contacts/All Leads/Custom modules will be migrated
  4. New syncs in All Contacts view will have Accounts and Deals modules mapped by default. Existing syncs in All Contacts view can be edited and re synced to map Accounts, and Deals modules respectively.
  5. The following features under CRM set up will be discontinued because with the new CRM flow these features become either redundant or irrelevant,
    1. Update email campaigns in custom field in Zoho CRM (last five campaigns)
    2. Push data to Zoho CRM
    3. Field mapping template 

 Zoho Creator    

  1. All syncs will maintain a continuous data flow between Zoho Marketing Automation and Zoho Creator without any delay concurrently everyday.
  2. You can select only one application and view combination at a time to create a sync.

 Zoho Analytics     

  1. All syncs will maintain a continuous data flow between Zoho Marketing Automation and Zoho Analytics without any delay concurrently everyday.
  2. You can select only one database and one table combination at a time to create a sync.

 Zoho Contacts    

  1. A single sync can be created per organization. It's sufficient to sync all contacts from Zoho Contacts.
  2. Daily syncs are supported to maintain a continuous data flow between Zoho Marketing Automation and Zoho Contacts.

 Zoho Forms 

  1. We will keep the account selected by the admin and migrate them to the new flow. All other account integrations will be denied.
  2. Forms that were imported from other users' accounts will be deactivated.
  3. Forms that are part of Journeys as response action will not be migrated.
  4. The contacts who've signed up using the form will not be listed in the detail view of the form in 2.0 version.

 Zoho Books and Zoho Invoice 

  1. Existing syncs will be migrated and supported in the revamped set up briefly.
  2. A single sync can be created per organization. It's sufficient to sync all contacts from the respective applications.

 Zoho Meeting and Zoho Backstage    

  1. A single sync can be created per organization. It's sufficient to sync all contacts from the respective applications.
  2. All syncs will be instant, maintaining a continuous data flow between Zoho Marketing Automation and respective applications without any delay.
  3. All registrants and attendees from upcoming webinars and historical webinars will be synced. The synced contacts can be maintained under segments to send targeted emails to the appropriate set of contacts.
  4. Syncs created before the migration won't be retained after the migration. 

 Zoho Desk   

  1. A single sync can be created per organization. It's sufficient to sync all contacts from the respective application.
  2. Only contacts module of the respective application can be synced with Zoho Marketing Automation.
  3. All syncs will maintain a continuous data flow between Zoho Marketing Automation and the respective application without any delay concurrently everyday.

 Zoho Survey    

  1. We will keep the accounts selected by the admin and migrate them to the new flow. All other accounts and syncs will be denied.
  2. Survey campaigns created and scheduled based on the integration of accounts selected during the migration will remain unaffected. Campaigns based on other account integrations will be stopped and saved as draft.

 Changes in the third party applications integration setup   

 GoToWebinar and Eventbrite   

  1. A single sync can be created per organization. It's sufficient to sync all contacts from the respective applications.
  2. All syncs will be instant, maintaining a continuous data flow between Zoho Marketing Automation and the respective applications without any delay.
  3. All registrants and attendees from upcoming webinars and historical webinars will be synced. The synced contacts can be maintained under segments to send targeted emails to the appropriate set of contacts.
  4. Syncs created before the migration won't be retained after the migration.

 Survey monkey    

  1. We will keep one of the accounts selected by the admin and migrate them to the new flow. All other accounts and syncs will be denied.

 Zendesk    

  1. A single sync can be created per organization. It's sufficient to sync all contacts from Zendesk.

  3. All syncs will maintain a continuous data flow between Zoho Marketing Automation and Zendesk without any delay concurrently everyday.

Google Analytics    

  1. With this update, the integration will be with Google Analytics - version 4.
  2. In this version, all data and analytics can be viewed directly in Google Analytics and it will not be populated under Reports tab of Zoho Marketing Automation like earlier.
  3. Google Analytics data will not be shown in the Campaigns reports page.

 Salesforce     

  1. Custom and criteria based views cannot be configured.
  2. New syncs in the All Contacts view will have the Accounts and Deals modules mapped by default.
  3. The following features under the respective application set up will be discontinued. This is because with the new CRM flow these the following features will become either redundant or irrelevant,
    1. Update email campaigns in custom field in (last five campaigns)
    2. Push data to the respective application

FAQs    

1. Why should I sync all the contacts when I only plan to send marketing emails to only a few contacts? 
When you create a sync, you can mark the subscription type of these contacts as 'non-marketing' contacts and import them into Zoho Marketing Automation. You can change the subscription type of specific contacts to marketing when you want to send campaigns to them using Zoho Marketing Automation.
We only charge for contacts in the marketing subscription type, so syncing them as non-marketing contact and changing the subscription type when you are going to send campaigns to them will help you manage contacts in the revamped integration setup.
 
2. Can only admins send survey emails in the revamped sync setup?
Users can send survey campaigns after the update. That will not be changed with this revamped integration setup.

3. If I have an active workflow that includes a Zoho survey email based on a user integrated account, will the email be stopped? 
Since other users' integration apart from admin integration will be removed and denied, the survey campaign created based on the users' integrations will be stopped.
A workaround is to configure a survey email from the admin's account to ensure that no scheduled or workflow based survey email campaigns will not be affected because of the migration to the new setup.
 
4. How is the new CRM sync setup beneficial? Does migrating to this new setup affect my data in the existing setup? 
The new CRM sync setup is aimed at simplifying the flow of data between CRM and Campaigns. This migration will make it easier for you to maintain the synced data and it most certainly will not affect your data in the existing setup.

You need to configure multiple syncs for the leads, contacts, and custom modules.
You need to configure one sync for each of your module to import all data.
You can create a limited number of syncs and only import contacts via those syncs.
All relevant contacts will be imported when you create a single sync for a particular module.
Accounts and Deals modules could be synced periodically.
There is no need to run separate syncs for your related accounts and deals modules because they are also synced instantly with this one configuration.
You can configure immediate and periodic syncs. Periodic syncs will only be updated on the set time.
All syncs configured will be instantaneous.
  
5. If I am facing issues while migration or in the new integration or sync setup, can I revert to the old setup? 
Once migrated, you will not be able to revert to the old setup. If you are facing any kinds of issues during or after migration, please contact us at support@zohomarketingautomation.com and we will provide you with assistance required to resolve all relevant issues.
