Creating a Marketing Project
When you already have a complete plan on the different marketing activities, the owner, and other important specifics, you can create them as an Active Marketing Project. Start assigning the activities and the appropriate owners will be notified and they can start working on them right away.
While creating a project, you can specify the following:
- Name: Name of the marketing project.
- Color: Associate a color to help identify the project with ease
- Objective: The reason or purpose of a project. For example, lead generation, generating web traffic, customer retention, etc.
- Type: This determines how a marketing project is categorized. For example, tradeshow, workshop, conference, product launch, etc.
- Owner: The user who is responsible for the marketing project.
- Location: The geographical location where the campaign is being held.
To create
- Go to Brand Studio.
- Click New Project on the Marketing Projects tab.
- Specify the Name, Color, Objective, Type, Owner, Launch Date, and Location.
- Click Create.
Drafting your marketing projects
Marketing Plus lets you plan your entire marketing campaign, the activities involved, the various tasks, and the resources, all from a single place where you can save them as drafts. You can associate them with your team members and view a complete timeline of how your marketing project is planned from beginning to end. Once you are done with the plan, you can mark the marketing project as Ready and start working on your campaign.
Note:
- Drafts can only be accessed by the user who creates them.
- When a marketing project is assigned to another user and created as a draft, they will be able to access it only after the marketing project is marked as Ready.
To draft marketing projects
- Go to Brand Studio and click New Project.
- Specify the Name, Color, Objective, Type, Owner, Launch Date, and Location.
- Click Create as Draft.
Plan your activities
Once the marketing project has been created as a draft, you can start planning your activities by adding them. You can enter a suitable name, enter the expected launch date, and select an appropriate owner. You can also choose to add notes as comments to the activity.
- When an activity is assigned to another user and created as a draft, they will be notified only after the marketing project is marked as Ready.
To add activities
- Go to Brand Studio and select a marketing project marked as Draft.
- Click the Add icon next to Activities and select an activity from the Create Activity popup.
- Enter the Name, Expected Launch Date, and select the owner from the drop-down list.
- Click + Add Comment to add a comment to the activity.
- Click Save.
Alternatively, you can add an activity from the timeline.
To do so
- Click + Create New from the timeline.
- Select an Activity from the options or click More to open the Create Activity popup and select an activity.
Creating a to-do list
You can start adding tasks as to-do lists to the marketing project and also assign them to your team members. You can also associate them with an activity, modify the Status or Due Date, and add a suitable Description or Comment.
To add a task
- Go to Brand Studio and select a marketing project marked as Draft.
- Select the To-Do Lists tab and click Add Task.
- Enter the Name and Description.
- Click Associate Activity and select an appropriate activity.
- Select an Owner from the dropdown list.
- Specify the Due Date and click Save.
Managing Resources
You can also create or add all your marketing assets, such as videos, documents, images, presentations, and so on. Files can also be imported from your cloud drives such as Google Drive, Box, Dropbox, OneDrive, or Evernote. All your resources will be hidden when the marketing project is still in the Draft stage. You can choose to share specific files with your team. When the project is marked as ready, all the resources can be accessed by your team.
To add resources
- Go to Brand Studio and select a marketing project marked as Draft.
- Select the Resources tab and click New to add resources.
Viewing all drafts
In Brand Studio, you can view all the drafts by selecting Draft from the available list view options.
Editing or deleting drafts
You can edit or delete the entire marketing project or activities that are part of a marketing project based on your requirements. When an activity or a project is deleted, all the tasks and associated resources will also be removed.
To edit or delete a project
- Go to Brand Studio and select a marketing project marked as Draft.
- Click More, then select Edit or Delete.
To edit or delete an activity
- Go to Brand Studio and select a marketing project marked as Draft.
- Select an activity and click Edit to make changes.
- Click More, then select Delete to delete the activity.
Marking Marketing Projects as Ready
Once you have planned all your marketing activities and you are ready to start executing them you can mark the marketing project as Ready. If marketing activities are assigned to other users, they will be notified about them once you mark it as ready. Once you do so, you can't convert it back to a draft.
To mark a marketing project as ready
- Go to Brand Studio and select a marketing project marked as Draft.
- Click the drop-down icon next to Draft and select Mark as Ready.
Editing Marketing Projects
The marketing project can be edited only by the Administrator or the Project Owner.
To edit a marketing project
- Go to Brand Studio and select a Marketing Project.
- Click More > Edit.
- Modify the project information and click Save.
To change color
- Go to Brand Studio and select a Marketing Project.
- Click More > Edit.
- Select an appropriate color from the list.
Alternatively, you can also change the color from the List View.
Sort and Search Marketing Projects
When you are managing multiple marketing projects in your organization, it might be difficult to navigate and find the one that you are looking for from a huge list. The search and sort option in Marketing Plus makes it easy for you to arrange the list based on a criteria and find the project that you are looking for with ease. You can search for a project by name or location. The following are the default options available to sort Marketing Projects.
- Recently created: Displays the most recently created Marketing Project at the top.
- Project Name: Displays the marketing projects in an alphabetical order starting from A-Z.
- Launch Date
- Newest first: Sorts the projects based on launch date in descending order.
- Oldest first: Sorts the projects based on launch date in ascending order.
To sort Marketing Projects
- Go to Brand Studio and ensure Marketing Projects tab is selected.
- Click the sort icon and select an appropriate option.
To search for Marketing Projects
- Go to Brand Studio and ensure Marketing Projects tab is selected.
- Click the Search icon next to the Name and Location column to search for a Marketing Project.
Deleting Marketing Projects
Marketing Projects can be directly deleted by the Project Owners, or the Administrators under the following conditions:
- When there are no activities or resources associated with it.
- When the project has only activities assigned to users, or the status is Not Started.
If activities are already created in a project and saved as a draft or launched already, you can raise a request to our support team and we can help deleting the project for you. Please note that we will not be able to delete your drafts or launched activities. Instead, we will dissociate them from the Marketing Project and then delete the Project along with the tasks, resources, and discussions. The dissociated activities can still be accessed in the respective modules.
To delete a Marketing Project
- Go to Brand Studio and select a Marketing Project.
- Click More > Delete.
- Click Delete from the popup to confirm.
Alternatively, if there are activities associated with the project, you can click Contact Support to get help deleting the project.
- Modify the content if necessary and click Submit.
