How to configure Breakout Rooms

Breakout Rooms:
Breakout rooms in Zoho Meeting are used for improving the quality of discussions by enabling increased focus and active engagement in larger meetings.

For Meeting Host
Breakout rooms in Zoho Meeting can be created during an ongoing meeting. This allows participants to divide into smaller, focused groups for more in-depth discussions and enhanced engagement.
Note:
 Participants who join via an invite won't be automatically assigned to breakout rooms. The meeting host will need to manually distribute these participants into the breakout rooms later.
Breakout Rooms will not be accessible when End-to-end encryption is turned on. 

Create Breakout Rooms

For a new meeting/instant meeting:

  1. Click the Meet Now button from your Zoho Meeting's home page to create an instant meeting.

  2. Click either Audio conferencing or Video conferencing according to your preference.

  3. Click the More icon (...) from the meeting controls and select Breakout Rooms, as shown below.

             

 This opens the Create Breakout Room popup

             

  1. Select the required number of Breakout rooms. 

Note: You can create up to 20 breakout rooms, accommodating a total of 250 participants. Participants will be automatically assigned to the breakout rooms, but you have the option to modify these assignments if necessary.
  1. Click Create. 

From here, you can perform the following operations:

  • Search for and locate other members in the meeting—participants, or co-hosts.

  • While searching for the participants, the host can also move them from one room to another.

  • Add another room from the main room if the max limit of 20 is not reached.

  • The meeting host can edit the number of room names, see the number of participants in a particular room, and can delete a room.

  • The meeting host can shuffle the participants between different rooms.


      6.     Click Open Rooms.

      7. To participate in a specific room, select the Join option next to the room. Alternatively, you can drag and position yourself into it.


Note: A short prompt will appear at the top to indicate that you are entering the chosen room from the current room. You can click on the Join now link to join the chosen room immediately.

 


For Meeting Participants


The host of the meeting will provide you with an invitation link to join the meeting. Upon joining, you will be assigned to a specific room automatically. The host can join any breakout room at any point during the meeting and can also relocate you to different rooms.

  1. Click on the Invite link sent from your host to join the meeting.

  2. Join a meeting from your computer or the Zoho Meeting mobile app. If you join a meeting after it has already started, you will initially be placed in the main room. The host can move you to the desired room afterwards.

  3. After you join a meeting, you'll be placed inside the main room. The host can move you to the intended room afterwards. (This happens when you have been invited after the meeting has already started.)

  1. When you are in a breakout room, you can interact with other participants within your room. You can also use the audio and video features to stay connected and collaborate with the other participants.

Note: The meeting host has control over features like polls and returning to the main room.
