Zapier - Setup guide

Zapier - Setup guide

Zapier is an online automation tool that helps to connect Zoho Meeting with other third-party tools and applications. Zapier acts as a buffer by creating automated workflows called Zaps, which work based on actions and triggers.

Notes
Both admin and member can configure this integration settings.

The 'Zapier Integration' is available in both the free and paid editions of meeting and webinar in Zoho Meeting.

Prerequisites:

1. You must have an active Zoho Meeting and  Zapier account to begin with or sign up for one.

2. An account in the third-party application you wish to connect with Zoho Meeting using Zapier (for example, Google Calendar, Salesforce, and more.)

How to integrate Zoho Meeting with other apps using Zapier

1. Sign into Zoho Meeting
2.  Navigate to Settings > Integration > Apps> Zapier.
3. Click on Connect to Zapier

Info: All the following steps will be in Zapier's interface. You need to create zaps to integrate an application with Zoho Meeting inside Zapier. To learn more about creating zaps and integrating two apps, visit Zapier's Quick Start Guide.

Integrate Zoho Meeting and Calendly using Zapier:

1. Sign into your Zapier account
2. In Zapier's Home page, click Create > Zaps

3. This opens a zap workflow setup interface. Name your Zap and start setting up the workflow.

Create a trigger event:

1. Inside the Zap workflow interface, you must set up a trigger.

Example: In this case, let's set up a Calendly trigger to start your Zap when a new invitee is created. The Zap should then create a meeting in Zoho Meeting for that invitee.
2. Select trigger as Calendly, and select trigger event as Invitee created.

3. Sign in to your Calendly account to connect Calendly to Zapier.

4. Click Continue.

5. In the Configure stage, select Webhook subscription scope and Event Type. Click Continue once you've configured the properties.

6. Click on Test trigger to check the connection. If the connection is successful, it'll pull the list of retrieved data as records.

7. Once the connection is successful, click Continue with the selected record.

Now, you have completed setting up the trigger. You must create an action event to complete the workflow.

Create an action event:

Creating an action event is similar to setting up a trigger event.

1. Select Zoho Meeting as the app
2. Select Schedule Meeting as the action event
3. Connect your Zoho Meeting account

Note: When connecting your Zoho Meeting account, ensure you select the correct data center (DC).

4. Click Continue
5. In the Configure stage, select the field values from the previous actions/triggers, or enter the mandatory fields.

6. Click Continue.
7. Once the test is successful, click Publish.
