Moderator Controls - Zoho Meeting

Lock meetings, mute, request to unmute, rename, and remove participants

Moderators initiate and set the tone of discussions, present ideas, encourage participants to speak, and regulate discussions to arrive at conclusions. In Zoho Meeting, the presenter of a meeting acts as the moderator. Moderator controls are features that help moderators conduct secure online meetings, move discussions in the right direction, minimize interruptions, and collaborate effectively to make decisions faster.

Lock meetings

Lock meetings to reduce interruptions during ongoing discussions.
  1. Start the meeting.
  2. Click Lock Meeting from the More option on the meeting toolbar.

Key points
  1. No one will be able to join a locked meeting even if they have the 'join' link.
  2. If someone tries to join a locked meeting, the presenter of the meeting will be notified. The presenter can decide whether or not to let the participant in.
  3. A locked meeting is similar to a password-protected meeting.
  4. The presenter can unlock the meeting at any time if they want to let all participants in.
  5. Participants who try to join a locked meeting will be informed that the meeting is locked. They can either wait for the presenter to unlock the meeting or close the window.
  6. Presenters can let selected participants in and reject others.

Automatically Lock Your Meetings

Admins can enable automatically lock meeting option under Organization Settings in their Zoho Meeting account to automatically lock all meetings as they start to prevent unsolicited intrusion.

1. Click Settings on the left pane.
2. Select the Manage Organization tab.
3. Turn on Enable automatic-lock for all your meetings setting under Meeting.

Note
  • This feature is only available in the paid editions of Zoho Meeting.
  • Only the presenter of a meeting can lock a meeting. Switching to a different presenter does not give them access to lock meetings.

Mute participants

Mute participants to reduce noise and encourage constructive discourse.

How-to
  1. Start the meeting.
    • To mute all participants, click Participants on the meeting toolbar, then click Mute all.

    • To mute individual participants, click Participants on the meeting toolbar. Click the Mic icon next to the name of the participant you want to mute.

Key point
  1. Participants can unmute themselves to speak even after presenter mutes them.
  2. You can temporarily unmute yourself by long pressing the space bar on your keyboard. As soon as you release the space bar, you'll be muted.

Note
  • This feature is only available in paid editions of Zoho Meeting.
  • Only the presenter of a meeting can mute participants.

Rename participants

Presenters can rename participants to replace their official names with nicknames during a meeting. Presenters and participants can also change their own names as required.

To change your meeting name or a participant's meeting name:
  1. Click Participants on the meeting toolbar.
  2. Click the More icon  next to the existing name and select Rename.
  3. Enter the new name and click Save.

Remove participants

If someone joins your meeting by mistake, or if a participant no longer needs to be included in a new topic of discussion, you can remove them from your online meeting.

How-to
  1. Start the meeting.
  2. Click Participants on the meeting toolbar.
  3. Click  next to a participant's name to open a dropdown.
  4. Click Remove participant.
Key point
A participant who has been removed from a meeting can join the meeting again unless the meeting is locked.
Note
  • This feature is only available in paid editions of Zoho Meeting.
  • Only the presenter of a meeting can remove participants.

Request  to unmute participants

Meeting participants might mute themselves to ensure that there are no disturbances or background noises coming from their side. Unmuting a participant without their consent is a violation of privacy. However, the host can use this feature to request participants to unmute themselves to share their thoughts during meetings.

How to unmute a single participant:

  1. Click the Microphone slash icon   next to the participant's name in the meeting toolbar to Request to unmute.

  2. You can also click the More icon in the participant's video feed and select Request to unmute.

 How to unmute all participants:

1.Click the More icon in the bottom of the meeting toolbar.

2.Click Request all to unmute.

What happens once I request to unmute?

A notification like the ones below will be sent to the participant when you request to unmute them.

 During the meeting

They will be able to choose if they want to unmute or stay muted.

Note

  1.  In mobile devices, the "Request to unmute" feature is available only for Android versions 2.2.4 and above. This feature is not supported in iOS devices at the moment.
  2. Only the host can request participants to unmute; participants will not be able to request hosts/participants to unmute.
  3.  Hosts will not be given acknowledgement if the user has chosen to stay muted.
