Adding Lists Using Filters in Noteboards
Overview
Create a Noteboard with Filters
- Open Zoho Notebook.
- In the left navigation pane, click Noteboards.
- Click + New Noteboard.
- Enter a name for your Noteboard.
- Click on Rectangle icon in the top right corner and name the list.
- Click Add Filter.
- Choose one or more filter conditions, such as:
- Notebook – Show notes from selected notebooks.
- Tag – Display notes with specific tags.
- Card Type – Filter by Text, Checklist, Photo, Audio, File, Sketch, Smart Card, and more.
- Reminder – Show notes based on reminder status.
- Created Date or Modified Date – Filter notes within a specific time range.
- Add additional filters if required. You can combine multiple conditions to further refine the displayed notes.
- Click Done to create the Noteboard.
The Noteboard is created instantly and automatically displays all notes that match the selected filters. Whenever a note matches (or no longer matches) the filter conditions, the Noteboard updates automatically.
Note: A Noteboard is a filtered view of your notes. It does not create duplicate copies or move notes from their original notebooks.
Available Filters and how to use them
In Notebook :
Filter notecards by the notebook they belong to.
Helps in organizing notes according to their respective projects or categories.
as note card Type:
Filter notecards by their type: Text card, Checklist card, Audio card, Photo card, File card, Sketch card, Bookmark card, Video card.
Helps in organizing and accessing specific types of content easily.
with Tags:
Filter notecards by tags.
Helps in categorizing and finding notes quickly.
as Favorites:
Filter notecards by your favorite notecards.
Quickly access your most important or frequently used notes.
Shared Notes:
Filters notes based on sharing criteria.
All notes shared with me: Filter notes shared with you.
All notes shared by me: Filter notes shared by you.
Organization notes: Filter notes shared within the organization.
Choose collaborator: Filter notes by choosing a specific collaborator.
Linked to Service:
Filters notecards linked to specific services.
Zoho Mail: Filter notecards linked to emails from Zoho Mail.
Zoho Connect: Filter notecards linked to activities in Zoho Connect.
Zoho Cliq: Filter notecards linked to conversations in Zoho Cliq.
Zoho Meeting: Filter notecards linked to meetings in Zoho Meeting.
With Reminders:
Filters notecards based on reminder status.
All Reminders: View all notecards with reminders set.
Upcoming Reminders: View notecards with reminders that are scheduled for the future.
Overdue Reminders: View notecards with reminders that have passed their due date.
Show from recent search term:
Filters notecards based on a search term entered.
Within Date Range:
Choose one of the date range options: Last Week, Last 2 Weeks, Last Month, or Last 2 Months.
Apply the filter to view notecards within the selected time frame.
Sort Notes By:
You can sort notes based on various parameters after applying the filters.
