Organizing notes in Zoho Notebook
Overview

What Are Notecards?

Multiple notecards can be created and managed within a notebook, allowing users to organize information in a flexible and structured way.
Types of Notecards
Zoho Notebook supports multiple notecard types, including:
- Text Card – Used for plain text and formatted notes
- Checklist Card – Used for tasks and to-do lists
- Image Card – Used to store photos or images
- Audio Card – Used to record and save voice notes
- Video Card – Used to add and store video content
- Sketch Card – Used for freehand drawings or handwritten notes
- File Card – Used to attach and store documents
Users can create notecards based on their content needs and manage multiple cards within a notebook.
Smart Notecards Based on Content
In addition to manual formatting, Zoho Notebook intelligently detects the content added to a notecard and automatically creates specialized notecards, known as Smart Cards. This helps present information in a more structured and meaningful way without requiring manual setup.
Based on the content, Zoho Notebook can create:
- Recipe Card – When you add a recipe link or recipe content, Notebook detects key details such as photos, description, ingredients, and steps, then formats everything into a neat checklist-style card. You can find the list of supported websites
- Video Card – When you save a video link (e.g., YouTube or Vimeo), Notebook creates a Video Card that shows a preview and allows distraction-free playback.
- Bookmark Card (Link Card) – When you save a webpage link, Notebook generates a card showing the page title and main image so you can read or revisit it later without clutter.
- Flight Card – When Zoho Notebook detects flight-related information (such as confirmation emails or booking details), it automatically creates a Flight Card. This card neatly organizes key travel information like the airline name, flight number, departure and arrival times, and boarding details, making it easy to access travel information at a glance.
Formatting and Editing Options in Notecards
Zoho Notebook provides a wide range of formatting and editing tools to help users structure and enhance their notes:
- Basic text formatting, including bold, italic, and <u>underline</u>
- Bulleted and numbered lists for organizing content
- Spell Check to review and correct text
- Tables to organize information in rows and columns
- Code blocks for adding and formatting code snippets
- Quotations using a dedicated quote option
- Insert line option to visually separate sections of content
These options allow users to create clear, readable, and well-structured notes.
Additional Notecard Actions
Notecards include several actions that help users manage, organize, and safeguard their content:
- Reminders can be added to a notecard to receive alerts related to that note.
- Notecards can be marked as favorites for quick access
- Version history allows users to restore previous versions of a notecard, eliminating the need to create duplicate copies or worry about accidental changes
- Merge notes option enables users to combine multiple notecards into one without manual copy-pasting
- Notecards can be copied, moved, or rearranged across notebooks
- Tags can be applied to help with searching and organization

Collections are sub-groupings within a notebook that allow users to organize related notecards further. They help structure content inside a notebook without requiring additional notebooks.
Collections can be used to:
- Group related notecards within the same notebook
- Organize content by topic, phase, or category
- Reduce clutter when working with large notebooks
Notecards can be added to collections, moved between collections, or removed from collections as needed.
