Create and Manage To-Dos in Zoho Notebook

Create and Manage To-Dos in Zoho Notebook

Overview

Zoho Notebook's enhanced To-Do Cards make it easier to organize tasks, manage deadlines, and track your progress in one place. Previously known as Checklist Cards, To-Do Cards now offer additional task management capabilities, including due dates, task assignments, priorities, subtasks, and linked notes.

With the dedicated To-Do section, you can view and manage tasks from across your notebooks without having to open individual To-Do Cards.

Whether you're managing daily activities, planning projects, or collaborating with others, To-Do Cards help you stay organized and keep track of what needs to be done.

What's New in To-Do Cards?

With the latest update, existing Checklist Cards are now called To-Do Cards, with additional features to help you manage your tasks.

You can now:

  • Set due dates: Add deadlines to individual tasks.
  • Set reminders and repeat tasks: Receive reminders before tasks are due and schedule tasks to repeat daily or at custom intervals.
  • Assign tasks: Assign tasks to others and notify them through email.
  • Set priorities: Organize tasks based on their importance.
  • Create subtasks: Break larger tasks into smaller, manageable steps.
  • Link notes: Attach relevant notecards to individual tasks for easy reference.
  • Sort and filter tasks: Organize tasks by title, due date, priority, and other criteria.
  • Manage tasks centrally: Access tasks from different To-Do Cards through the dedicated To-Do section.

Creating and Managing a To-Do Card

A To-Do Card is a notecard that helps you create and manage a list of tasks in one place. You can create as many To-Do Cards as you need to organize different activities, such as managing a project, planning a trip, or tracking a shopping list.

On Mobile (Android and iOS)

  1. Open the Zoho Notebook app.
  2. Open the notebook where you want to create a To-Do Card.
  3. Tap on + icon to create notecard.
  4. Tap the To-Do icon from the note creation options.
  5. Enter a title for your To-Do Card.
  6. Add your tasks one by one.

On Desktop

  1. Open Zoho Notebook.
  2. Navigate to the notebook where you want to create a To-Do Card.
  3. Click the To-Do icon from the note creation options.
  4. Enter a title for your To-Do Card.
  5. Add your tasks one by one.

Once created, you can manage each task individually by adding due dates, assigning members, setting priorities, creating subtasks, or linking relevant notes.

Set a Due Date for a Task

Due dates help you keep track of upcoming deadlines and stay on top of your tasks. You can also set reminders and make tasks repeat at specific intervals.

To set a due date:

  1. Open the required To-Do Card.
  2. Select the task for which you want to set a due date.
  3. Choose the Due Date option.
  4. Select the required date.

  1. Configure the following options as needed:
  • Remind Me: Choose when you want to receive a reminder from the available options, or select Custom to set your preferred reminder time.

  • Repeat: Make the task recurring by selecting one of the available repeat options, or choose Custom to configure a repeat schedule that suits your needs.

  1. Save your changes.

You'll receive reminder notifications in the Notebook app based on your selected reminder settings.

You can set different due dates, reminders, and repeat schedules for individual tasks within the same To-Do Card.

Assign a Task to Someone

You can assign individual tasks to others to help coordinate activities and responsibilities.

  1. Open the required To-Do Card.
  2. Select the task you want to assign.
  3. Choose the Assign option.
  4. Enter or select the person you want to assign the task to.
  5. Confirm the assignment.

Once a task is assigned, the assignee will receive an email notification containing the task details.

  1. To remove yourself from a task, open its ⋯ menu and select Unshare.

  2. In Zoho Notebook for Teams, tasks can only be assigned to  members of your team.

Set Task Priority

Priorities help you identify important tasks and organize your work accordingly.

  1. Open the required To-Do Card.
  2. Select the task.
  3. Choose the Priority option.
  4. Set the appropriate priority for the task.

You can also use the sorting and filtering options to view tasks based on their priority.

  2. Select the task to which you want to add subtasks.
  3. Choose Add Subtask.
  4. Enter the subtask details.
  5. Add additional subtasks as needed.

This helps you organize complex activities and track individual steps within a task.

Info

Info:

  • You can add to 50 subtasks to a task.
  • Completing the main task doesn't tick its subtasks, tick each one
  • Subtasks can have their own due date, reminder, repeat, priority, linked note and assignees.

Link a Notecard to a Task

You can link existing notecards to tasks to keep related information easily accessible.

  1. Open the required To-Do Card.
  2. Select the task you want to link to a note.
  3. Choose the Linked Note option.
  4. Select the relevant notecard.

The linked notecard can be accessed from the task whenever you need to refer to its content.

InfoInfo: If someone shared a task with you and you don't have access to its linked note, Notebook offers to Request Access from the owner.

Accessing Tasks from the To-Do Section

Zoho Notebook now includes a dedicated To-Do section, alongside sections such as All Notes, Notebooks, and Noteboards.
Similar to how the All Notes section displays notecards from different notebooks, the To-Do section brings together individual tasks from all your To-Do Cards, regardless of which notebook or notecard they belong to.
This allows you to manage your tasks from a single location without opening each To-Do Card separately.

Managing Tasks from the To-Do Section

To access your tasks:

  1. Open Zoho Notebook.
  2. Navigate to the To-Do section.
  3. View the tasks created across your To-Do Cards.
  4. Select a task to manage its details.

From this section, you can:

  • Edit task reminders and due dates.
  • Change task priorities.
  • Add or manage subtasks.
  • Link relevant notecards.
  • Move tasks to Trash.

Set a Default Note for New To-Dos

When you create notecards from the All Notes section, they are saved to your default notebook.

Similarly, tasks created directly from the To-Do section are saved to a designated default To-Do Card.

You can choose which To-Do Card should store these newly created tasks.

Configure the Default To-Do Card

  1. Open Zoho Notebook.
  2. Navigate to Settings.
  3. Locate the Default Note setting for To-Dos.
  4. Select the To-Do Card you want to use as the default.
  5. Save your selection.

Once configured, new tasks created directly from the To-Do section will automatically be added to the selected To-Do Card.

This helps keep your tasks organized without requiring you to select a notecard every time you create a task.

InfoInfo: The default to-do note can't be moved to the Bin. Choose a different default first.

Show or Hide Completed Tasks

When you mark a task as completed, you can choose whether completed tasks should remain visible within the To-Do Card.

To manage completed task visibility:

  1. Open the required To-Do Card.
  2. Click the More Options (three-dot) menu.
  3. Select Show Completed to display completed tasks.
  4. Select Hide Completed to hide completed tasks from the card.

Hiding completed tasks does not delete them. You can display them again whenever needed by selecting Show Completed.

This helps you focus on pending tasks while retaining a record of completed activities.

Sort Tasks Within a To-Do Card

Zoho Notebook provides multiple sorting options to help you organize tasks based on your preferences.

To sort tasks:

  1. Open the required To-Do Card.
  2. Select the Sort option.
  3. Choose your preferred sorting method.

The available sorting options include:

  2. Select Sort > Custom.
  3. Drag and rearrange tasks into your preferred order.

This allows you to maintain a personalized task sequence without applying an automatic sorting method.

Filter Tasks Within a To-Do Card

In addition to sorting, To-Do Cards provide filtering options to help you focus on specific tasks.

You can filter tasks based on criteria such as:

  • Repeated Task: Identify recurring tasks.

Apply a Filter

  • Weekly task digest — a summary of your tasks for the week.

Turn them on in Settings › Note Cards › Todo. They're off by default.
