Zoho Notebook provides multiple ways to export, save, print, and reuse your notes outside the application. Whether you want to create a backup, share notes in a portable format, continue working in another Zoho app, or store your notes in cloud storage, Notebook offers flexible export options to suit different workflows.

This article walks you through every available export method and when to use each one.

Upload Notes to Google Drive

You can save individual notecards directly to your Google Drive for easy cloud access, backup, and sharing.

How to Upload a Notecard to Google Drive

  1. Open the File notecard.
  2. Click the Share option.
  3. Choose Upload to Google Drive.
  4. Sign in and authorize your Google account.
  5. Select the destination folder and upload the file.


Best suited for: Keeping additional cloud backups, sharing notes with Google Drive users, or accessing your content across devices.


IdeaNote: You will need a Google account to use this option. Exporting does not remove the original note from Notebook.

Export a Notecard as a PDF

PDF export lets you create a portable, shareable version of your note while keeping its formatting intact.

How to export a notecard as a PDF:

  1. Open the notecard you want to export.
  2. Click the Share option.
  3. Select Export as PDF.
  4. Choose a destination app on your device.
  5. Save the generated PDF file.


Best suited for: Reports, meeting notes, study materials, and anything you need to share or archive in a universally readable format.

Note: This option is available only in Mobile devices. For the desktop users, they can use Print option to download as PDF file.

Export as a Password Protected File

When your notes contain sensitive or confidential information, you can export them as a password protected file to ensure only authorized recipients can access the content.

How to export a notecard as a password protected file:

  1. Open the notecard you want to export.
  2. Click the More Options (...)/ Share menu.
  3. Select Export as Password Protected file.
  4. Enter a strong password in the field provided.
  5. Confirm the password and proceed with the export.
  6. Save the protected file to your preferred location.

     


IdeaNote: Please store your password in a safe place. Zoho Notebook does not retain your password and cannot recover a protected file if the password is lost.

Things to keep in mind:

  • The recipient will need the password to open the exported file.
  • This option applies to individual notecards and does not cover the full account export.
  • This option is available only in mobile devices. The export will be shared as a password protected Zip file.

Best suited for: Confidential meeting notes, personal records, legal documents, financial summaries, and any content you need to share securely.

Export a Notecard as an Image

You can save any notecard as an image file, making it easy to share your notes on messaging apps, social platforms, or anywhere that accepts an image format.

How to export a notecard as an image:

  1. Open the notecard you want to save as an image.
  2. Click the More Options (...)/ Share menu.
  3. Select Export as Image.
  4. Choose a save location on your device and confirm.

Things to keep in mind:

  • Image exports capture the visible content of your notecard as a static snapshot. Any interactive elements such as checkboxes or embedded links will not be functional in the exported image.

Best suited for: Sharing notes visually on messaging apps, social media, team chats, or anywhere a document format is not practical.

Copy a Note to Zoho Writer

If you need more advanced document editing and formatting, you can send any note directly to Zoho Writer with a single click.

How to copy a note to Zoho Writer:

  1. Open the notecard you want to edit further.
  2. Click Share option.
  3. Select Copy to Writer.
  4. Zoho Writer will open with your note content loaded into a new document.
  5. Continue editing and save from within Writer.



Best suited for: Drafting reports, business documents, formal articles, or any note that needs richer formatting and collaborative editing.

Notebook lets you print individual notecards directly from within the app.

How to print a notecard:

  1. Open the notecard you want to print.
  2. Click More Options (...).
  3. Scroll down to locate Print option.
  4. Select Print.
  5. Review the print preview.
  6. Choose your printer settings and click Print.



Best suited for: Meeting handouts, checklists, study notes, and reference documents that need a physical copy.

Export All Notecards as HTML or ZNote

If you want a complete backup of your Notebook data, you can export all your notecards at once.

How to Export All Notecards

  1. Open Notebook Settings.
  2. Select Export/ Download all your Notebook Data.
  3. Choose the export format(ZNote/ HTML)
  4. Start the export process.
  5. Once completed, a downloadable link will be shared with your registered email address.



Things to keep in mind:

  • Export time depends on the number of notebooks, notecards, and attachments in your account. Large accounts may take additional time.
  • Please avoid initiating multiple export requests at the same time.

Best suited for: Full account backups, migrating content to another device, or preserving your notes before major changes.

      Yes. Individual notecards can be exported as a PDF, uploaded to Google Drive, copied to Zoho Writer, or printed directly..

2. Will exported PDFs retain my note formatting?

      Yes. PDF exports preserve the content and formatting of your notecard as closely as possible, making them suitable for sharing, printing, and archiving.

3. Can I re-import notes that I previously exported from Notebook?

      Yes. Exported Notebook backup files can be used for restoring or re-importing your notes when supported by the import process.

4. Is there a limit to how many notes I can export?

      There is no specific limit on the number of notes you can export. 

5. Why is my export taking a long time to complete?

      Large notebooks, numerous attachments, and extensive account data can increase export processing time. Please allow the export to complete and avoid initiating multiple export requests simultaneously.

6. Can I print multiple notecards at once?

      Currently, printing is available for individual notecards. 

7. Do I need a Google account to use the Google Drive export option?

      Yes. You must sign in to a Google account and authorize Notebook to upload files to your Google Drive.

8. Does exporting my notes remove them from Notebook?

      No, Exporting creates a copy of your notes. The original notecards remain available in your Notebook account.

9. Are exported notes automatically synced when changes are made later?

      No, Exported files are static copies. If you make changes to a note afterward, you will need to export it again to generate an updated version.
