Sync and Backup in Zoho Notebook

Sync and Backup in Zoho Notebook

Overview

Zoho Notebook is designed to keep your notes safe, updated, and accessible across all your devices. Sync and Backup work together to ensure your data remains consistent and protected.

Sync keeps your notes consistent across devices in real time, while backup ensures your data is securely stored and recoverable. Together, these features allow you to access, edit, and protect your information without manual effort.

By signing in with your Zoho account and staying connected to the internet, your notes remain up to date and secure at all times.

This article explains how synchronization works, how backups are handled, and what users should know to keep their notes secure.

How Sync Works in Zoho Notebook

What is Sync?

Sync (synchronization) ensures that any changes you make to your notes are automatically updated across all devices where you are signed in with the same Zoho account.

For example:

  • Create a note on your mobile device → It appears on the web app.

  • Edit a note on your laptop → The updated version reflects on your tablet.

  • Delete a note on one device → It is removed across all devices.

Info

Sync happens automatically when:

  • You are signed in to your Zoho account.

  • Your device is connected to the internet.

Devices That Support Sync

Zoho Notebook sync works across:

  • Web application

  • Linux Devices

  • Windows and macOS desktop apps

  • Android devices

  • iOS devices

As long as you log in with the same Zoho account, your notebooks, notecards, tags, attachments, and settings remain consistent.

What Gets Synced?

All the content in your notebook account will get synced including the following data:

  • Notebooks

  • All types of notecards (text, checklist, photo, audio, file, etc.)

  • Tags

  • Attachments

  • Noteboards and Whiteboards

  • Updates or edits made to existing content

  • Deletions

Sync ensures that the latest version of your content is always available across devices.

Offline Access and Sync Behavior

Zoho Notebook allows you to work offline on mobile and desktop apps. When you create or edit notes offline and delete or move notecards. The changes are saved locally on your device.

Once your device reconnects to the internet, all changes are automatically synced to the cloud and other devices reflect the updated content. This ensures uninterrupted productivity even without internet access.

AlertDo not uninstall the Zoho Notebook app without confirming that all your notes have been successfully synced. If the app is uninstalled before syncing completes, any unsynced local data may be permanently lost.

How Backup Works in Zoho Notebook

Cloud Backup

Zoho Notebook automatically backs up your data to the cloud when sync is enabled. Since your notes are stored securely in your Zoho account:

  • You do not need to back up your notes manually.

  • Your data remains safe even if you lose or replace your device.

  • Reinstalling the app and signing in restores your content.

Notes
iOS users who use Zoho Notebook without signing in (Guest mode) will not have their data stored in the Zoho Cloud. In this case, data is stored locally on the device and will be backed up to iCloud only if iCloud backup is enabled on the device.

Manual Backup (Export Options)

If you want an additional copy of your notes, Zoho Notebook allows you to export content.

You can export:

  • Individual notecards

  • Entire notebooks

Export formats may include:

  • ZNote (Notebook format for re-import)

  • PDF

  • HTML

Manual exports are useful when:
  • Creating local backups

  • Migrating data

Data Safety and Account Protection

To ensure your data remains secure:

  • Always sign in using your official Zoho account.

  • Enable two-factor authentication (recommended).

  • Avoid logging into your account on untrusted devices.

Info
Your data is linked to your Zoho account, not to a specific device.

Troubleshooting Sync Issues

If your notes are not syncing as expected, try the following steps before contacting support.

1. Verify Your Internet Connection

If you use Zoho Notebook on multiple devices, make sure you're signed in with the same Zoho account on each device.

Open Settings in Zoho Notebook > Tap the Sync wheel icon.

Windows:

NotesNote: A Full Sync downloads the latest version of your synced data from Zoho Notebook. It does not delete any notes from your account.

Android:

Open Zoho Notebook > Menu (☰) > Long-press Sync Now > Tap Yes.

Windows:

  • Verify whether your notes are available in the Zoho Notebook Web App.
  • Avoid signing out of your account or reinstalling the app unless advised by the support team.
