Sync Zoom Meeting Recordings to Zoho Notebook (Beta)

Overview

Zoho Notebook lets you automatically import your Zoom cloud meeting recordings and generate AI-powered transcripts, making it easy to revisit discussions, search for important conversations, and keep all your meeting notes in one place.

Once connected, Notebook automatically imports your Zoom cloud recording as soon as the meeting recording is processed and available in Zoom. The recording is added as an Audio Card or Video Card, and if Auto Transcribe is enabled, an AI-generated transcript is created automatically.

How to Connect Zoom with Zoho Notebook

  1. Open the Zoho Notebook Web App
  2. Click Settings
  3. Select Notebook AI
  4. Enable Auto Transcribe.  
  5. Enable Zoom under Auto Import recordings section. 
  6. Sign in to your Zoom account when prompted. 
  7. Authorize Zoho Notebook to access your Zoom cloud recordings. 

Once authorization is complete, Notebook will begin checking your Zoom account for eligible recordings.


How Zoom Recording Import Works

After your Zoom meeting ends:

  1. Zoom processes the cloud recording and makes it available. 
  2. Zoom sends a webhook notification to Zoho Notebook with the meeting and recording details.
  3. Zoho Notebook imports the recording as an Audio Card or Video Card. 
  4. If Auto Transcribe is enabled, Notebook generates an AI transcript. 
  5. A notification email is sent to your registered Notebook email address with links to open and share the recording.
NotesNote: The recording is imported only after Zoom has finished processing it and sent the recording details to Zoho Notebook. Depending on the recording length and Zoom's processing time, it may take some time before it appears in Notebook.

Working with Meeting Transcripts

Once a recording has been processed, you can:

  • Read the complete AI-generated transcript 
  • Search within the transcript for keywords or phrases 
  • Rename the recording 
  • Move it to another notebook 
  • Add tags for better organization 
  • Share the recording and transcript with collaborators 
AlertTip: Notebook automatically generates a title for the imported recording. You can rename it at any time.

The Zoom Meeting Recording integration is currently available for:

  • Notebook for Business 
  • Zoho One Bundle

Frequently Asked Questions

1. Can Notebook import local Zoom recordings?
No. Only eligible Zoom cloud recordings can be imported through the integration. Other local recordings can be imported to file card.

2. How often does Notebook check for new Zoom recordings?
Notebook does not periodically check for new recordings. Instead, Zoom automatically notifies Zoho Notebook when a cloud recording is ready, and Notebook imports it automatically.

3. Why isn't my Zoom recording appearing in Notebook?
Check the following:
  • The recording has finished processing in Zoom. 
  • The recording size is 500 MB or less. 
  • Your Zoom account is properly authorized. 
  • The recording is a cloud recording. 
  • Auto Transcribe and the Zoom integration are enabled. 

4. Will I receive a notification when my recording is ready?
Yes. Once processing is complete, Notebook sends an email with links to open and share the imported recording. 

5. Can I edit the transcript?
Yes. After the recording is imported, you can edit the transcript just like any other note in Zoho Notebook.
