Overview

Notebook AI Transcription helps you convert audio and video recordings into accurate, searchable text using AI. Whether you're recording meetings, interviews, lectures, voice notes, or presentations, Notebook AI automatically generates a transcript that you can review, edit, search, and organize alongside your notes.

Once the transcription is complete, you can further enhance it using Notebook AI features such as Transcript Templates, Ask AI, Summarize, and more to quickly extract key information and create actionable notes.

Note: Notebook AI Transcription is available with Notebook Pro Plus, Notebook Business, and Zoho One plans. AI transcription usage is subject to your monthly transcription quota.

Supported Audio and Video Sources

You can generate transcripts for:

• Audio Cards recorded in Zoho Notebook
• Video Cards recorded in Zoho Notebook
• Imported audio files
• Imported video files
• Meeting recordings imported through supported integrations
  

Accessing Notebook AI Transcription

1. Open the Zoho Notebook app.
2. Create or open an Audio Card or Video Card.
3. Wait until the recording or uploaded media finishes syncing.
4. Click or tap the Notebook AI icon.
5. Select Transcribe.
6. Choose the spoken language.
7. Notebook AI will process the recording and generate the transcript.
   

Once completed, the transcript appears within the same notecard.

Switch Between AI Transcript and Raw Transcript

Notebook AI lets you switch between two different transcript views depending on how you want to work with your recording.

AI Transcript

The AI Transcript provides an AI-generated, structured version of your recording. Instead of displaying every spoken word, Notebook AI organizes the content into a clear and readable format based on the selected Transcript Template (such as Meeting Brief, Interview Notes, Sales Call, etc.).

From the AI Transcript view, you can:

• Switch between different Transcript Templates. 
• Generate structured meeting notes and summaries based on the selected template. 
• Review organized sections such as key points, action items, decisions, and more (depending on the template). 

Raw Transcript

The Raw Transcript displays the recording as a verbatim transcription, preserving the original spoken conversation without AI formatting or restructuring.

From the Raw Transcript view, you can:

• Read the complete transcript exactly as it was transcribed. 
• Copy or review the original transcript. 
• Generate an AI Summary to quickly understand the key points of the conversation without changing the original transcript.

You can switch between AI Transcript and Raw Transcript at any time to view either the structured AI output or the original transcription of your recording.

What You Can Do After Transcription

After a transcript is generated, you can:

• Read the complete transcript alongside the recording.
• Search for specific words or phrases within the transcript.
• Copy the transcript.
• Edit the transcript if required.
• Generate AI summaries.
• Ask questions about the transcript using Ask Anything.
• Apply AI Transcript Templates to organize the transcript into structured meeting notes.
• Save AI-generated content as a new note.

Change the Transcript Template

After the transcript has been generated, you can switch between different AI Transcript Templates at any time.

1. Open the transcribed Audio or Video Card.
2. Open the AI Transcript section.
3. Click or tap the Template option in the top-right corner.
4. Select the preferred template.
5. Refresh or reopen the note if necessary to view the updated output.

You can also change the transcription language from the same screen before regenerating the transcript.

Best Practices

For the most accurate transcription results:

• Record in a quiet environment with minimal background noise.
• Ensure speakers are close to the microphone.
• Speak clearly and avoid multiple people talking simultaneously.
• Use recordings with good audio quality.
• Verify the selected language before starting transcription.

Yes. Your recordings are processed securely to generate transcripts. Zoho follows industry-standard security practices to protect your data during processing and storage.

No, Your recordings, transcripts, and other Notebook content are not used to train public AI models. They are processed only to provide the AI features you request.

No, Your transcripts remain private to your Notebook account unless you explicitly choose to share the note or notebook with others.

Troubleshooting

Transcription option is not available

• Ensure you're signed in to a supported Notebook AI subscription.
• Verify that the recording has completely synced.
• Check your internet connection and try again.

Transcription is taking longer than expected

Processing time depends on the recording length and current server load. Keep the app connected to the stable internet until processing completes.

The transcript is inaccurate

For better results:

• Record in a quieter environment.
• Confirm the correct language is selected.
• Use recordings with clear speech and minimal background noise.
