Restrict App Access - Overview
Users generally access apps by signing up for them separately, leading to the formation of many independent accounts outside the Zoho One organization. In certain cases, the account creation occurs at the very instance of visiting an app's webpage while in others, it occurs when the user signs up by entering their details and agreeing to the terms stated.
Sometimes, there can be a genuine requirement for standalone instances of an app, for example, when there are divisions in a single organization, which may need more than one independent account for better administration of that organization. Also some users are authorized to create such accounts for purposes similar to this. It is challenging for the admin to handle such accounts when created in large numbers.
The admin would want to assign users with restricted permissions to make sure account creation outside Zoho One organization is limited. The Restrict App Access feature will enable the admin to bar users from this and ensure that their only way to access an app (be it one already existing or yet-to-be-added) is controlled by the admin.
For example, when a user tries to launch Zoho Desk, the below screen appears as a measure of checking access. The user may be part of Zoho One but not of the independent standalone instance. They may access it separately or even create an account separately, but this screen serves as a check for further progression of account creation. Navigation to Controls feature in Zoho One:
- Log in to your Zoho One organization.
- Click Directory
from the left navigation menu or click on Settings icon
on the top-right of the profile pane.
- Click Controls.
