Assign a Zoho One user to a device

Prerequisites  

Required roles:

  1. Organization owner
  2. Organization admin

Before you begin:

  1. You can only assign confirmed users to enrolled devices.
  2. A confirmed user can be assigned to multiple enrolled devices.
  3. An enrolled device can have multiple assigned users.
Assigning a Zoho One user to an enrolled device links the user to a local account on the device, allowing them to sign in using their Zoho One credentials.

The steps to assign a Zoho One user to a device vary between the two User Interface versions supported in Zoho One. Select the UI version you use from the tabs below and proceed with the steps that follow.

To assign a user to an enrolled device: 

  1. Sign in to Zoho One, then click the  Directory icon in the top-right corner. 
  2. Go to the Device Management tab. You will be directed to the Device Authentication section.
  3. Select the enrolled device you want to assign a user to.
  4. In the displayed pop-up, click Assign User.



  5. Select the user you want to assign to the device. 
  6. Enter the Local Account Name and click Assign.
The Local Account Name must match the username of the existing local account on the device (for example, john).
  1. If selected user was previously assigned to another device, this field is automatically populated with the previously used local account name.
  2. You can edit the value if the current device uses a different local account name.
Notes
If the specified local account does not exist on the device, a new local user account will be created on the device.

For macOS devices, enter the end user's email address in the Email password/credentials to field.
Important: This step requires coordination with the end user.
  1. An OTP is sent to the email address entered in the Email password/credentials to field.
  2. Ask the end user to enter the OTP on the FileVault login screen.
  3. After the OTP is verified successfully, the Zoho One sign-in window appears on the device.
  4. The end user must then sign in with their Zoho One credentials. This updates the device password to match their Zoho One account credentials. 


Unified UI

To assign a user to an enrolled device: 

  1. Sign in to Zoho One, then click the Directory in the left menu. 
  2. Go to the Device Management tab. You will be directed to the Device Authentication section.
  3. Select the enrolled device you want to assign a user to.
  4. In the displayed pop-up, click Assign User.



  5. Select the user you want to assign to the device. 
  6. Enter the Local Account Name and click Assign.
The Local Account Name must match the username of the existing local account on the device (for example, john).
  1. If selected user was previously assigned to another device, this field is automatically populated with the previously used local account name.
  2. You can edit the value if the current device uses a different local account name.
