Domain Sync between Zoho Services and Zoho One
When you verify a domain's email authentication records (such as DKIM and SPF) or add and verify a sender email in Zoho One, the domain gets synced across all the applications associated with your Zoho One organization. Once the domain and email are verified in Zoho One, the system automatically skips additional verification steps (like OTP verification and domain record validation) in individual apps, saving you time and reducing repetitive tasks.
Domain verification data can sync in two directions:
- Zoho One → the integrated Zoho services: Both domain records (DKIM, TXT) and sender email verifications are synced. This also allows individual apps to skip verification steps if the domain is already verified in Zoho One.
- Zoho services → Zoho One: Only DKIM record verifications are synced and further shared with other integrated apps in your bundle. However, the verification of a sender email inside a Zoho app will not reflect in Zoho One.
Zoho services don't receive domain data instantly when it's added in Zoho One. There are some cases when they have to pull it:
- Re-adding a domain in a service: If you delete a domain in a Zoho service and later re-add it, the service will pull the stored records from Zoho One. As the data exists in Zoho One already, the domain is auto-verified in the service without having to redo the verification.
- When services are migrated into Zoho One: If an app is migrated into your Zoho One bundle, any verified domains already present in that service will be automatically fetched into Zoho One as part of the unification. Only verified domains are included in this migration.
However, sender email verification syncs only one way, i.e., from Zoho One to services. It's not synced back to Zoho One if verified directly from a service.
Domain - Email coupling
The relationship between a domain and a sender email varies across Zoho apps. Some apps treat the email and domain as coupled (linked/dependent), while others treat them as uncoupled (independent).
- Coupled (Linked)
- Changes to the domain and email are interdependent and linked.
- Example: With Zoho Campaigns, you can delete a domain only if there’s no sender email associated with it. If a sender email is linked to the domain, you must delete the sender email first.
- Uncoupled (Independent)
- The domain and email are independent. You can modify or delete one of them without impacting the other.
- Example: With Zoho Analytics, you can use any email as the sender email, and it won’t affect the domain settings. They are treated separately.
