Unable to deactivate user in Books

Description

You may encounter this error when you are trying to deactivate a user.

Reason

This error occurs because the user you are trying to deactivate has set up integrations in Zoho Books with other Zoho apps.

Solution

To deactivate the user, you need to remove or change the integration the user has set up in Books.

To know which app the user has integrated with Books:
The step to deactivate users vary betweem the two User Interface versions supported in Zoho One. Select the UI version you use from the tabs below and proceed with the steps that follow.

  1. Sign in to Zoho One, then click  on the top right corner.
  2. Go to Users, then click on the user you want to deactivate.
  3. In the Applications tab, hover over Books, click Disable, then click Yes, Disable.
  4. You will see one of the following error messages:
    1. Status cannot be changed. User's credentials are used for integration with Zoho CRM.
    2. Status cannot be changed. User's credentials are used for integration with Zoho Analytics.
    3. The user's status cannot be changed as they are a part of Zoho Books-Zoho Desk integration. If you still want to mark this user as inactive, disable the integration and try again.
Once you find out which app integration is causing the error, you can disable that integration, and try deactivating the user again.

Note: If you don't want to disable the integration set up by the user, contact support@zohoone.com to resolve the issue.
Unified UI
  1. Sign in to Zoho One, then click Directory in the left menu.
  2. Go to Users, then click on the user you want to deactivate.
  3. In the Applications tab, hover over Books, click Disable, then click Yes, Disable.
  4. You will see one of the following error messages:
    1. Status cannot be changed. User's credentials are used for integration with Zoho CRM.
    2. Status cannot be changed. User's credentials are used for integration with Zoho Analytics.
    3. The user's status cannot be changed as they are a part of Zoho Books-Zoho Desk integration. If you still want to mark this user as inactive, disable the integration and try again.
Once you find out which app integration is causing the error, you can disable that integration, and try deactivating the user again.

To disable the integration and deactivate the user:

  1. Make sure the user has access to the CRM:
    1. Go to Users in the Zoho One admin panel.
    2. Click on the user.
    3. In the Applications tab, hover over the required app, then click Enable.
  2. Go to Zoho Books, then disable the integration.
  3. Return to the Zoho One admin panel and try deactivating the user.
Desk

  1. Go to Zoho Desk, then disable the integration.
  2. Return to the Zoho One admin panel and try deactivating the user.
Analytics
Owner of Analytics
  1. Go to Zoho Analytics, then open your finance workspace.
  2. Click Data Sources in the left menu.
  3. Click Take Ownership.
  4. Go to Zoho Books, then go to Settings.
  5. Go the Integrations from the left menu, then click Zoho Apps.
  6. Click Show Details next to Zoho Analytics. You will be able to see that ownership has been changed and the sync is successful.
  7. Return to the Zoho One admin panel and try deactivating the user.
