Assign Extended Apps to Users

This article explains how to assign, import, and remove Extended Apps for users.

How assignment works

  1. Assigning an Extended App to a user automatically assigns the corresponding add-on license.
  2. Removing or disabling the application for a user automatically releases the add-on license.
  3. If no add-on licenses are available, you will not be able to assign the app to more users until you purchase additional licenses.

Assign an Extended App to existing users

The Extended App along with the corresponding add-on license will be assigned automatically.

Assign during user addition

See: Add a Lite user. When adding a new user (Admin Panel > Users > Add User), the License Selection page contains two sections:

Description
Zoho One Apps
Select a Zoho One or Lite User license. This section is optional.
Extended Apps
Select one or more Extended Apps for the user.

     

During user addition, you can assign:
  1. a Zoho One license with one or more Extended Apps, such as Zoho Voice.
  2. a Lite User license with one or more Extended Apps.
  3. one or more Extended Apps only
If you leave the Zoho One Apps section unselected (neither Zoho One license nor Lite User license) and only assign an Extended App, the user will be automatically classified as a Lite User.

Conditional Assignment

  1. Conditional Assignment rules can assign application access but cannot assign Extended App add-on licenses.
  2. For Conditional Assignment to work with an Extended App, the users must already possess the required add-on license. Only the application is assigned. It does not assign the required add-on license.

Import users

You can assign Extended Apps when importing users. During the import process, you will reach a License information step.
During import, you can assign:
  1. a Zoho One user with one or more Extended Apps.
  2. a Lite User with one or more Extended Apps.
  3. an Extended App only.
To import users and assign only an Extended App to them:
  1. Set license type to Lite User.
  2. Leave the standard Lite add-on fields unselected.
  3. Select the required Extended App.

         
The imported users will be created as Lite Users with access to only the assigned Extended App.

Remove an Extended App from a user

If an Extended App is the user's only valid license or add-on, removing it will trigger a warning as shown below:

     

Solution: To keep the user active, assign another valid license or add-on before removing the Extended App.
