Zia Search for Admins

Zoho offers a cloud connector feature that allows you to link external apps with Zia, enabling you to search for information not only within Zoho applications but also across connected third-party apps.

Prerequisites

Roles required to perform this action:
  1. Organization Owner
  2. Organization Admin
The steps to enable third-party search add-ons vary between the two user interface versions supported in Zoho One. Select the UI version you use from the tabs below and proceed with the steps that follow.

Enable third-party search add-ons

  1. Sign in to Zoho One, then click  in the top-right corner to open Zia Search.
  2. Click in the bottom-left corner.
  3. Click Open Admin Console from the pop-up.
  4. Under the General tab, turn on Third-party add-ons and click Yes, Enable.
  5. Enable Admin approval required if you want the user to add third-party add-ons only with your approval.
  6. Enable Allow add-on accounts from trusted domains only if you want the user to add accounts created using an email ID from the allowed trusted domains.
NotesTo view the list of trusted domains, click Show list. If enabled, at least one domain must be selected.

Add account to an app

  1. Sign in to Zoho One, then click  in the top-right corner to open Zia Search.
  2. Click in the bottom-left corner.
  3. Click Add Account available under the application for which you want to add a new account.
  4. Enter the account credentials.
  5. Click Add.
Notes
If Admin approval required is enabled, the account will be added only after the admin approves the user's request.

Add multiple accounts to an app

  1. Sign in to Zoho One, then click  in the top-right corner to open Zia Search.
  2. Click in the bottom-left corner.
  3. Click Manage under the application for which you want to add an additional account.
  4. Click Add Account.
  5. Enter your account credentials and click Add.

Revoke account from an app

  1. Sign in to Zoho One, then click  in the top-right corner to open Zia Search.
  2. Click in the bottom-left corner.
  3. Click Manage under the required app.
  4. Hover over the account and click Remove.

Disable app

  1. Sign in to Zoho One, then click  in the top-right corner to open Zia Search.
  2. Click in the bottom-left corner.
  3. Click Open Admin Console.
  4. Disable the application you want to disconnect.

Disable third-party add-ons

  1. Sign in to Zoho One, then click  in the top-right corner to open Zia Search.
  2. Click in the bottom-left corner.
  3. Click Open Admin Console.
  4. Disable Third-party add-ons.
Notes
If the integration remains disabled for 120 days, users within the organization will lose access to their connected accounts.

Manage user requests

Organization admins can effectively monitor user-submitted applications by reviewing approved ones, tracking pending approval, and monitoring expired applications, ensuring smooth management and timely decision-making.
  1. Sign in to Zoho One, then click  in the top-right corner to open Zia Search.
  2. Click in the bottom-left corner.
  3. Click Open Admin Console.
  4. Click User Requests. You can filter and view requests that are pending, approved, or expired.
    1. Use the Pending filter to view user requests that await your action. You can approve or reject them.
    2. Use the Approved filter to view user requests that you can approve. You can choose to revoke them if needed.
    3. Use the Expired filter to view the requests that have been left unapproved for over 30 days.
Notes
Upon approval or rejection, the user will get an email that the request has been approved or rejected.


Usage summary

Under Usage Summary, you can view the overview of applications and user activity, offering insights into the number of applications submitted, their approval status, and user engagement.
    1. You can use the Apps filter to see the status of the account and the total number of accounts associated with it.
    2. You can use the Users filter to view user information, such as their email address, along with the third-party add-ons they are associated with.
