Part 2: Getting started with Zoho One: Adding and managing Users & Groups
After setting up your organization and choosing the apps you want to begin with, the next step is to add users and manage access.
This guide helps you onboard users, group them by team or role, assign apps, and delegate admin access where needed.
Add users to Zoho One
After you decide which apps to begin with, add the users who need access to those apps.
You can add users manually, import users from a file, or sync users directly from an existing directory depending on how your organization manages employee information.
Choose a user onboarding method

Quick Tip
If you are importing users, standardize your spreadsheet before upload. Use consistent department names and make sure every user has a unique email address.

Group users by team or role
Groups help you manage app access at scale. Instead of assigning apps one user at a time, you can group users by department, role, location, or function.
For example:
- Sales group
- Finance group
- HR group
- Support group
- Marketing group
- Admin group
Once groups are created, you can assign apps to the group and keep access consistent for everyone in that team.
Why this matters
Groups make it easier to expand your setup later. As new employees join, you can add them to the right group and give them access to the apps they need.

After you choose your apps and add users, assign the right apps to the right people.

You can assign apps directly to users, but assigning apps to groups is easier to manage as your organization grows.
Example
If your Sales group needs Zoho CRM, Zoho SalesIQ, and Zoho Campaigns, assign those apps to the Sales group. Any user added to that group can receive access based on your setup.
Quick Tip
Avoid giving every user access to every app. Start with the apps each team needs for their current work. You can add more apps later.

Manage admin access
As your setup grows, you may want to delegate some administrative responsibilities.
For example, your sales lead may manage CRM settings, while your finance lead manages finance apps. This helps distribute ownership without making every admin responsible for the entire Zoho One setup.

Decide who should manage each business area and assign admin access carefully.

Give admins only the access they need for their role. Keep full organization admin access limited to a small number of trusted users.
