Guide to Migrate Records With Many-to-Many Associations in Zoho CRM

Data Migration - Multi Select Lookup (Many to Many Relationships)


Overview

A Multi Select Lookup field in Zoho CRM is designed to link a single record to multiple records in another module.

During data migration from a different CRM system to Zoho CRM, it’s essential to ensure that these linked records are transferred correctly so that all associations remain intact. Handling Multi Select Lookup fields properly helps maintain accurate relationships between records and preserves the consistency of your CRM data.

When you create a Multi select lookup field, a Linking module can also be created along with it. A linking module is one that serves as a junction between two modules associated with a multi-select lookup field. To learn more about Linking Module please refer here. 


Scenario
  

Consider a situation where you have a Multi Select Lookup field in the Leads module that looks up to the Accounts module.

Now, you want to import records into both the Leads and Accounts modules and establish many-to-many associations between them. This scenario illustrates the need to handle Multi Select Lookup fields carefully during migration to ensure that all relationships between Leads and Accounts are accurately maintained.

 

Preparing the Files to Import  

To successfully migrate data involving Multi Select Lookup fields, you will need three separate CSV files:
  1. Parent Module File – for importing Lead records
  2. Child Module File – for importing Account records

  3. Linking Module File – for creating the many-to-many associations between Leads and Accounts


In this scenario, Lead is the Parent Module and Account is the Child Module.


Parent Module File

The CSV file for the Parent module (Leads) must include two mandatory columns:
  • Parent Module Name
  • Migration ID


Child Module File

The CSV file for the Child module (Accounts) must include two mandatory columns:
  • Child Module Name
  • Migration ID


Linking Module File

The CSV file for the Linking module must include three mandatory columns:
  • Parent Module ID
  • Child Module ID

  • Migration ID

 

Notes

Note:

  • The Migration ID is crucial in the data migration process. Each record being migrated must have a unique identifier that will be used as the Migration ID during migration.

  • In addition to the columns listed above, include any other mandatory fields required by the respective modules.

Migration Process  

Follow the below step by step instructions to successfully migrate data involving Multi Select Lookup fields in Zoho CRM:
Access the Data Import  
  1. Navigate to Setup > Data Administration > Import.


  2. Select the CRM system from which you are migrating the data.

  3. Browse and upload all the prepared CSV files (Parent, Child, and Linking module files).



Module Mapping
  

Once the data is uploaded, proceed to module mapping:
  • Locate each CSV file in the respective module folder.
  • Ensure that the Parent, Child, and Linking module files are correctly associated with their corresponding modules.



Field Mapping
  

Next, map the fields in the CSV files to the corresponding fields in Zoho CRM.


Parent Module (Leads) Field Mapping
  

  1. Parent module name > map to Last Name field in Leads module
  2. Migration ID > map to Lead ID



Child Module (Accounts) Field Mapping
  

  1. Child module name > map to Account Name field in Accounts module
  2. Migration ID > map to Account ID



Linking Module Field Mapping  

  1. Parent Module ID > map to the Lead lookup field in the Linking module
  2. Child Module ID > map to the Account lookup field in the Linking module
  3. Migration ID > map to the Linking module ID



Start the Migration
  

  • After completing the mapping, click Start Migration.
  • If all files and mappings are correctly set, the data will be migrated successfully, maintaining all many-to-many associations between Leads and Accounts.
