How to Swap a Non finance Application within Zoho One with a Standalone application?


Business Use Case:


You are the owner of a Zoho One organisation where Zoho CRM is already added as part of the Zoho One bundle. Additionally, you also manage a standalone Zoho CRM organisation that is separate and not part of the Zoho One bundle. You would now like to swap the current Zoho CRM application under Zoho One with the standalone Zoho CRM organisation.

Is This Swap Possible?
  
Generally, swapping applications between Zoho One and standalone accounts is not encouraged or supported by default due to the integrated nature of the Zoho One All Employee Plan. However, exceptions can be made if there is a valid business use case and which are subjected to approval by Zoho One Engineering team.



If your request qualifies based on the use case, here’s how the process would work:

  1. Use Case validation
    • Submit your request along with a clear explanation of the business use case to swap the applications.
    • The Zoho One engineering team will review and assess the feasibility of this request.
    • If the team approves the possibility of unlinking the current CRM, we can proceed to the next step.

  1. Consent from Zoho One Super Admin

    • A written consent(Email) from the Zoho One super admin is required to proceed with unlinking the current Zoho CRM application from the Zoho One bundle.
    • This consent is necessary to ensure security and ownership validation.

  1. Unlinking from Backend

    • After receiving consent, we will manually unlink the existing Zoho CRM application from the Zoho One bundle via backend operations.

  1. Linking the Standalone CRM

    • Once unlinked, the standalone Zoho CRM organisation (which must be administered by the admin/owner of Zoho One) can now be linked to the Zoho One bundle from the Admin Panel in Zoho One by following the instructions here.


Swapping a Zoho's Finance Application within Zoho One with a Standalone Finance Organisation


Finance Applications under Zoho One include:


Zoho Invoice
Zoho Books
Zoho Inventory
Zoho Billing
Zoho Expense
Zoho Checkout

All finance apps shares a common organisation ID. Therefore, it is not possible to unlink a single finance application (e.g., just Zoho Expense) from the Zoho One bundle. If you need to swap finance apps, Zoho can only unlink all finance apps at once from the bundle (in bulk).

Process for Finance App Swaps:

  1. Written confirmation(Email) must be provided by the Zoho One super admin to unlink all finance apps from the bundle.

  2. Upon approval, all associated finance applications (Books, Invoice, Inventory, etc.) will be unlinked in bulk from the Zoho One bundle from backend.

  3. After unlinking, the admin can manually link the desired standalone finance organisation to Zoho One using the Admin Panel following the instructions here.

Points to be Noted:

  1. This is a manual, exception-based process not generally supported as a self-service option and is handled based on requests.

  2. Zoho reserves the right to approve or deny such requests based on internal policies and technical constraints.

  3. In the above Non finance app scenario, Zoho CRM is used as an example. However, this process is applicable to all the applications added within the Zoho One bundle, except for Zoho Finance applications and App Accounts, which cannot be unlinked or swapped in this manner.
