What is "Attendance" user service?
The "Attendance" user service refers to the Attendance tab accessed through the left bar in Zoho People. It displays all the necessary attendance service-related information such as attendance summary, overtime, shift, etc. It allows users to raise attendance-related requests, check-in and more. This space is intended for all users and is accessible to all roles (team members, managers, and even administrators).
How to navigate to user service?
Simply click on the Attendance icon in the left bar in Zoho People.
What can employees do here?
- View Attendance Summary (with switchable views) and days or hours scale, raise requests, export, and view audit history.
- Switch to Overtime, Regularization, On Duty, and Hourly Permission, for viewing raised requests or to raise new requests.
- View shift information and assign Shift (if applicable) from the Shift tab.
Break Management
Log Break
In the Attendance Summary tab, you can view the breaks applicable to you based on your organization’s break policy once you have checked in for the day. You can log manual breaks manually, while others are automatically recorded or logged based on your organization’s break policies.
Add Missed Break Entries
To manually add a break entry for a specific employee:
Go to Attendance (left-side tab) > Team > Reportees or Team Members tab.
Alternatively, you can navigate to Operations > Attendance > User-Specific Operation.
Click the user profile for whom you want to add the break entry.
On their Attendance Summary tab, click the day for which you want to add the break entry.
- Scroll to the end of your attendance entries, where you will find the Add Break Entry option.
View Break Type in Audit History
You can view the break types logged by you or automatically marked by your organization in the Audit History tab.
View check-in and check-out details
To view check-in and check-out details for a specific workday:
In the Attendance Summary tab, click on List View.
Click on the day for which you want to view the check-in and check-out details.
If facial recognition is enabled, you can view captured images of yourself or your repartees (based on permission) by clicking the profile icon. Images are available for check-ins and check-outs completed via the Zoho People mobile app, web application, or kiosk. For kiosk-based check-ins and check-outs, captured images from the past three months will only be available for viewing in the system.
View Audit History
The audit history allows you to track all changes made to employee attendance data, including shift changes, providing complete visibility and accountability. Reporting managers can view their team members' data.
To view the audit history for any employee, admins must navigate to Operations > Attendance > User-Specific Operations, search for the employee, and click the Attendance Summary tab. Then, use the Audit History option.
Team tab
- Employees can quickly check their team/project members check-in status by navigating to the Team tab.
What can managers do here?
- Managers can do all the above actions and additionally perform more actions from the Team tab. This includes:
- View check-in status of Reportees, both for direct reportees and employees who report to their reportees. (select All view within the Reportees tab).
- Approve or cancel Regularization, On Duty, Hourly Permission requests.
- Assign shift, view shift groups, and perform shift scheduling from the Shift Schedule tab (if applicable).
What can administrators do here?
- Within the user service, the administrator role is similar to the above roles. Similar to managers they can also view reportee data and add requests, delete, approve or reject requests.
- Administrators can import attendance-related data.
Administrator role users have access to Attendance Settings, and Operations (Administrators can view, raise, approve, cancel, and delete attendance requests of all employees from Operations).
