Absent Scheduler in Attendance Service
Purpose
The Absent Scheduler in Zoho People automates the transfer of employee absence data from the Attendance service to the Leave service and can notify employees of their absences at a scheduled time. If an employee fails to mark attendance for a day, they are marked as absent in the Attendance service. To push this data to the Leave service and/or notify employees about their absence, the Absent Scheduler must be configured in the Attendance service. This feature keeps employees informed about their absences, allowing them to apply for leave or regularize their attendance for absent days, and ensures accurate payroll processing.
The absence data pushed to the Leave service can be converted into any type of available leave, such as Casual Leave, Sick Leave, Annual Leave, etc.

To configure absent scheduler for the attendance service:
- From your home page, navigate to Settings > Attendance > Automation > Absent Scheduler, and click Add Scheduler.

- Enter a name for the Absent Scheduler.
- Set the schedule, choose when it runs, and specify for which day the absence data must be processed. Then, select any of the following options as needed:
Automatically apply leave for absent days: Enable this option to automatically use the available employee's leave balance to convert existing absence records to approved leave. Leave balance taken will follow the order (top-to-bottom) configured here.
Note:
- Absences will be converted to approved leave on the scheduled date and leave approval will not be trigged for this process. If the leave balance is not available, the day will be marked as Absent.
- If attendance regularization is requested after auto leave is applied, the system will revert the leave and regularize the attendance.
Regularization Limitations:
- Bulk importing attendance entries via regularization will not reverse auto leave.
- Notify through email: Enable this option to notify the employee, reporting manager, or specific employees about absence.

If you have selected the notify option, choose when to notify employees based on their absence days. You can customize the notification template to your preference for both single-day and consecutive-day absences.
You can set up to 10 notifications and for up to 10 consecutive days of absence.

Set the applicability for the Absent Scheduler.
You can set up the Absent Scheduler for your employees based on their location, department, designation, roles, user groups, or specific employees.
- Click Save.
Absent records will be pushed to the Leave Service, and notifications will be sent to selected employees if enabled.
Manually run the Absent Scheduler for Specific day
You can manually run the Absent Scheduler for a specific day, and the absence details will be updated accordingly.
- Navigate to Settings > Attendance > Automation > Absent Scheduler.
- Click the Start icon and select the day for which you want to run the scheduler, and click Confirm.
The schedule will run the attendance details for that specific day and push the absence entries to leave service and/or notify employees through email as per the option you have set.
