Email Templates

Email templates are pre-written, customizable formats that help save time and maintain consistency, especially when you need to send similar emails frequently. These templates typically include placeholders where you can insert personalized details (such as the recipient’s name, specific dates, or other unique information) and are commonly used to notify employees within an organization.

In Zoho People, email templates can be readily used in
  1. Workflow - Email alerts
  2. E-Sign Flow 
  3. Approval process email notifications
You can add email templates for the respective forms in Zoho People services (leave, attendance, timesheet, cases, and more) and use them as needed. Some of the email templates that you can add are listed below.
  1. Welcome New Employee Email
  2. Employee Birthday Greeting Email
  3. Employee Probation Confirmation Notification
  4. Request Approved Notification
  5. Request Rejected Notification

Create an Email Template

To create an Email Template:
  1. From your homepage, navigate to Settings > Select the service > Automation > Templates > Email Templates.



  2. Click Add Email Template.
  3. Select the form for which you would like to create the email template.
    Idea
    Email templates can only be used for the respective form related notifications.
  4. In the message section, draft your email body, you can use the Available merge fields dropdown to insert Zoho People Form and System Fields into the e-mail template. Use the available text formatting options if necessary.

  5. Click Save.
    Email template will be successfully saved and ready to be used.

Edit an Email Template

You can edit the custom and system email templates according to your organizational needs.

To edit an Email Template:
  1. Navigate to, Settings > Select the service > Automation > Templates > Email Templates.
  2. A list of email templates created for the service, with respect to the forms, will be displayed.
  3. Click on the Email Template to edit and customize according to your preferences.



Clone an Email Template

Cloning a template is useful when you want to create a new template based on an existing one. This option allows you to copy an existing template and make the necessary modifications, saving you time compared to creating a new template from the scratch.

To clone a Email Template:
  1. Navigate to, Settings > Select the service > Automation > Templates > Email Templates.
  2. Hover the mouse over the email template which you would like to clone and edit.
    Info
    Templates can only be cloned within respective forms.
  3. Enter a new template name and edit the body of the template to your preference.


  4. Click Save.
    A new template will be created.

Delete an Email Template

To delete an Email Template:
  1. Navigate to, Settings > Select the service > Automation > Templates > Email Templates.
  2. Hover the mouse over the email template which you would like to delete.
  3. Click Delete icon.
    Corresponding E-mail template will be removed.
