What is a Field Update in Zoho People?

Use Field updates to automate the process of updating field values in records when a corresponding workflow rule is activated. This removes the need for manual data entry in related forms, saving time and effort. By maintaining data accuracy and delivering real-time updates, it streamlines workflows and improves operational efficiency.

How to Automate Field Update in Zoho People

  1. Create the necessary field updates for a form under the Automation > Actions section of the service and associate them to a workflow.
  2. Whenever a Workflow trigger event occurs, the field is updated automatically with the defined values.

Set up Field Updates

To set up Field Updates:
  1. Navigate to Settings > Select a Service > Automation > Actions > Field Updates.
  2. Click Add Field Update.
  3. Select the Form in which you would like to automatically update field based on workflow trigger actions.
  4. Enter a Field Update name and description.

  5. In the Field Update selection section:
    1. Select the field to be updated. This field can be from the source form, or any other lookup from the selected form.
    2. Enter the custom value to be updated, or select a field from the source form or any related lookup which has to be updated in the above selected field.
  6. Click Save.
    After creating a field update for the form, map it with the workflow to enable automation.
Idea
You can add custom value, select the dropdown options, or map the fields within the Zoho People system forms, within a custom form, or from a Custom Form to the Zoho People Employee Form in the Field Update Selection section.

Map Field Update to a Workflow

To map a Field Update to a Workflow:
  1. From your home page, go to Settings > Select a Service > Workflows > Add Workflow.
  2. Provide all the required details, define workflow trigger actions. Learn more to configure Workflow.

  3. Under Actions, in the Field Update click the (+) add icon to add a new Field Update to the workflow or you can select the existing Field Update which are created for the form.

  4. Click Add.
    A workflow is created, and based on the trigger events, the Field is updated automatically in the corresponding form based on the Field Update configuration.
