What is the Geo Restriction feature in Zoho People?

The Geo Restriction feature in Zoho People allows administrators to control where employees can mark their attendance, start or end timesheet timers, access files by limiting access to physical locations specified through geo boundaries. This ensures that access is only through a designated office or official remote location, preventing employees from accessing from unauthorized locations.

For Attendance service, Zoho People captures location data from browser for web-based geo-restricted check-ins. However, if the browser's location data is altered by users, the actual location data may become inaccurate. To ensure accurate location tracking and successful geo-restricted check-ins, it is recommended to use the Zoho People mobile app, as it provides more reliable location data through the device's GPS.

Configuring Geo Restrictions

  1. Navigate to Settings > Attendance / Timesheet / Files > Permissions > Geo Restriction 
  2. Click Add Geo Restriction
  3. Enter a name and select the applicable services. (Attendance, Files, Timesheet can be selected)

  4. Use the Search bar to search for the starting location of your range. You can pin the location by entering the location name or the latitude and longitude coordinates of the location.
  5. Use the drawing tool (choosing from a variety of shapes like circle, rectangle, polygon, etc) bar on the right-hand side to mark the range.
Notes You can use the Show My Location icon () and grant required permission to let the system automatically show your current location. This will be easy to automatically move the map to the locaiton your accessing the system from. 
Use the Lasso tool to crop the selection precisely.
Use the delete icon to delete any added shape (region).
  1. Configure applicability by selecting specific users or all users.
  2. When selecting "Specific users", use the provided drop-down to Select from Department, Location or Designation. More crierias can be combined and individual employees can be added too.
  3. Configure Exceptions if required.

  4. Click Save.
Idea
Geo Restriction and IP Restriction feature can be used together to enforce a stricter access restriction.

Use Case 1: Restrict attendance marking to office premises

Scenario:
Zylker Technologies wants employees to mark attendance only when they are physically present at the New York office.

Configuration:
Create a geo restriction around the New York office building in Zoho People Attendance Service.
  1. Navigate to Settings > Attendance > Permission > Geo Restriction.

  2. Click Add Geo Restriction.
  3. Mark the Geo Restricted range using the available profiles.

  4. Select the applicable service as Attendance.
  5. Search the location and mark the geo restricted range.
  6. Define who this restriction applies to in your organization
  7. Click Save.
Result:
Employees can check in or check out only when they are within the designated New York, USA office location. Attempts to mark attendance from outside the defined boundary are blocked.
