Sharing Employee Engagement Survey Reports

Survey reports can be shared if required. Follow the steps to share survey reports:
  1. Navigate to the Employee Engagement > Surveys tab 
  2. Go to one of the subtabs (survey type): (eNPS | Engagement Survey) and click to open one of the surveys.



  3. Now open a survey click on the Share Report button

    The Share Report dialog box will now be open
  4. Use the 'Select Users' field to search for and choose the users you want to share the report with.
    Use the provided drop-down to choose between the following options:
    All Responses - Share complete report with data from all responses received.
    Associated Department Responses - Share report with data of responses received from associated departments only.
    Selected Department Responses - Shows an option to select a department. Only responses received from the selected department will be included.



    You can also enable the following options if required:
    Allow administrators to view the survey report - When enabled, the survey report will be automatically shared to all the administrators. Keep this disabled to protect survey data from administrators unrelated to the conducted survey. 
    Allow departments head to view responses from their respective departments When enabled, the survey report will be automatically shared with the corresponding department heads. 
  5. Click Share.

Viewing Shared Survey Reports

If the survey owner shares the report with you, you can access the survey report under the  Employee Engagement > Surveys > Shared Surveys tab for analysis.

Here is a quick overview of what you can explore and perform in the Survey Updates page:
  1. Survey Participation: A color-coded donut chart that indicates the participation in the survey using 3 colors. Green: Completed | Yellow: In-progress | Grey: Not-taken. The corresponding percentage and values are also indicated.
  2. Overall Score: A color-coded horizontal representation that displays the engagement score and a color-wise depiction of the favorable, neutral, and unfavorable responses (differentiated by color and size).
  3. Good scoring metrics: Of all the metrics included in the survey, this displays the better-performing metrics, i.e., the metrics that received positive responses.

On scrolling below, you have two additional tabs, "Question Summary" and "Respondent Details." A heatmap is also available. Here is a quick overview of the mentioned sections:
  1. Question Summary: 
    1. Question-wise stats: A color-coded horizontal question-wise representation of responses ranging from favorable to unfavorable. A bar chart view is also available, and the sorting can also be customized.
    2. Heatmap: To understand how the heatmap works, let us look at how it is calculated and depicted: All the metric groups are listed. Then, the responses received in the survey for each question in a particular category will be equated to a score between 1 and 10. For example, 3 questions with scores of 7, 8 and 9 associated with one metric would be indicated with a green color, and the average value will be displayed as 8 (or 80%) which indicates that the overall response was positive. The value can be viewed in reference to Department, Location, and Designation (switchable using the drop-down).


  2. Respondent Details:
    1. View the respondents (survey participants) list along with their answers. 

Export Survey Reports

Survey reports can be exported if required. Follow the steps to export survey reports:
  1. Navigate to the Employee Engagement > Surveys tab.
  2. Go to the Engagement Surveys subtab and click to open one of the surveys. (Depending on preferences, Report must contain data that can be exported, i.e., enough responses to maintain employee anonymity.)
  3. Click the More options icon (ellipses icon) and select Export option


    The Export dialog box will now be open.
  4. Select a file format and enable password protection if required.


    You can also include additional fields from the employee form in the report using the provided space.
    Data can be exported in two formats: 
    Employee-centric Report:
    The format will be employee-oriented, i.e., employees are listed along with their responses to the questions.


    Department-centric Report:
    The format will be department-oriented; i.e., departments are listed along with corresponding employee counts, response counts, questions, and the most common response for each question (of that particular department).



  5. Click Export
