Organization Files Expiry Reminder

Automation in Files lets you set up reminders to notify administrators about upcoming organization file expiries, helping prevent access loss and ensure timely review, renewal, or replacement of important organization documents.

Set organization files expiry reminder

  1. Navigate to Settings > Files > Automation.


  2. Enable Notify administrators about Organization files expiry.
  3. Click Edit Reminder. Configured by selecting the expiry period for files to be included and setting the reminder schedule.


    1. Daily: Sends a reminder email listing all files expiring within the next 30 days, starting from the schedule date.
    2. Weekly: Sends a reminder email listing all files expiring within the next 30 days, starting from the scheduled day each week.
    3. Every two weeks: Sends a reminder email listing all files expiring within the next 30 days, starting from the scheduled day every two weeks.
  4. In the Email Template, select either
    1. Send a consolidated email for all expiring files: A single email notification will be sent listing all files that are about to expire. A system-generated email template is used and cannot be customized.
    2. Send an email for each expiring file: An email notification will be sent for each file that is about to expire. The email template can be customized.
