Files - Settings

Overview

File service settings allow you to configure how the file service is accessed and managed in Zoho People. You can define who can access employee files, personal uploads, team files, reportees' files, and organizational files. Additionally, you can exempt specific users from mandatory document acknowledgements. Advanced permission settings such as IP-based and geo-restrictions can also be configured to enhance security.

IP restriction: Allows you to set IP restrictions to prevent employees from accessing modules outside the designated IP range. Click here to learn more.

Set Permissions
To set permissions for file service access from home page, go to Settings > Files > Configuration.


Employee Files

To set restrictions on who can access the Employee Files tab, enable Restrict access for viewing Employee files tab and select the following:
  1. For specific roles and employees (select roles and employees upon selecting this option)
  2. For all employees

Personal Uploads

To set restriction who can access Personal uploads, enable Allow access for viewing personal files tab and select the following:
  1. For specific roles and employees (select roles and employees upon selecting this option)
  2. For all employees
You can set the maximum number of personal files allowed per employee.


File View

Select the default type of view of organization and employee files:
  1. List
  2. Folder

Team Files

To allow department heads to add team files, enable Allow department head to add team files.

Reportee Files

To allow reporting managers, and their managers to view files specific to their reportees, select these options:
  1. Immediate reporting managers can access.
  2. Reporting managers and their managers can access.

Organization Files

User with administrator role can only access the organization files tab in operations.

Exempt mandatory document acknowledgement

Select the user roles that should be excluded from the mandatory document acknowledgement requirement. Users in these roles will be able to access Zoho People even after the acknowledgement due date, while other users will be restricted until they acknowledge the documents.
