Organizational Files

Organization files are common files that are shared throughout the organization based on organization entities and locations. Generic documents like company handbooks, leave policies, code of conduct folios, legal and compliance documents can be stored in this repository.

Adding Organization files

Idea
Department heads can upload files to their department if they have permission. Navigate to Settings > Files > Configuration > Team Files to enable this permission.
To add Organization Files:
  1. From your home page, go to Operations > Files  > Organization Files and click Add Organization Files.

  2. Select the file you would like to add. You can either upload the file from your desktop, from Zoho WorkDrive or other cloud services which includes:

  4. Dropbox
  5. OneDrive
  6. Box
  7. Evernote

All standard document file types such as .pdf .docx .xls can be uploaded with a maximum file size of 5 MB
  1. Enter a name and a short description about the file.
  2. Select the entity to Share With. If you have not enabled organization structure, only location and department will be listed.
  3. If you want to share this file with everyone in the organization, select Share with entire organization.

  4. Click Folder drop-down and select the existing folder or add a new folder. 
    The file will be placed in the selected folder.
  5. If you want the file to have an expiration date, click the calendar icon next to File Expiry Date and set the file expiry date.
  6. Select Mark as organization policy document to make it available for applicable users under the Organization Policies tab on the home page. 

  7. Enable the file document acknowledgement to require users to read and acknowledge the document. For more information, refer to Document Acknowledgement.

  8. Select Employee check box under File Permissions if you want the applicable employees to be able to download this file.


  9. Select the relevant options under Notifications through which you want users to be notified. 
  10. Click Save.
    The file will be successfully saved in your organization files. Applicable employees can view the file from the Files > Organization tab.

Location of Organization Policies Documents

If the file is marked as Organization Policiy Document, applicable employees can find it under Home > Organization > Policies tab.
