OnGrid for Zoho People

What is OnGrid Integration for Zoho People?

The OnGrid integration lets you run background verification (BGV) for your candidates directly from Zoho People, as part of the candidate onboarding flow.

How does this integration work?

  1. Integrate your Zoho People account to OnGrid using the credentials shared by the OnGrid team.
  2. Enable BGV while setting up a candidate onboarding flow.
  3. Collect candidate details and consent, then send them to OnGrid for verification.
  4. Trigger one or more verification types for each candidate: Credit Check, Permanent Address Verification, Employment Verification, and Education Verification.
  5. Track the status of every verification, view and download reports, and re-trigger a verification whenever you need to.

Setting up the OnGrid Integration in Zoho People

  1. Navigate to Settings > Marketplace > Third-party Integrations > OnGrid > Configure.



  2. Enter the OnGrid Community Details.
    Notes
    1. The Zoho People administrator needs to contact the OnGrid team to obtain the OnGrid Community Details (Client ID, Secret, Community ID, and Consent Text).

    2. The Consent Text ensures candidate consent during verification, and it cannot be edited by the admin once it is added.



  3. Click Save.



  4. Once the details are saved, a popup confirms that OnGrid is enabled and a callback URL is generated automatically. 
  5. Copy the callback URL. Click Continue. 
  6. Paste the copied callback URL into your OnGrid account so that verification updates sync back to Zoho People.

    1. The callback URL keeps verification status updates in sync between OnGrid and Zoho People.
    2. You can return to the OnGrid Community Settings tab any time to copy it again.
    3. To remove the integration, click Delete Integration on this tab.


  7. Log in to your OnGrid account.
  8. Go to Settings > Community Info.



  9. Paste the URL in the Callback Url field on the Basic Information page. Your Zoho People and OnGrid accounts are now integrated.

Enabling BGV in Candidate Onboarding Flow

Add background verification to a candidate onboarding flow so that candidates share their BGV details during onboarding.
  1. Go to Settings > Onboarding > Configuration > Candidate Onboarding > Flow.
  2. Select an existing flow or create a new one.
  3. Enable BGV option.



  4. The BGV stage lists the verification types available for the flow: Credit Check, Permanent Address Verification, Employment Verification, and Education Verification.
  5. Click Preview Onboarding Flow to review the candidate experience. This allows you to view the flow from the candidate's perspective.
  6. Click Save.

Trigger BGV for Candidate

Once a candidate has completed their details, trigger the background verification. 
  1. To view the candidate details, navigate to Operations > Onboarding > Track Onboarding.


  2. Click a candidate to open their record and view their full details.
  3. Click Trigger BGV at the top right corner.



  4.  In the Trigger BGV panel, select the verification types for the selected candidate to send to OnGrid for verification.
  5. Once selected, click Trigger Request.

View BGV Summary

After you trigger a request, the Trigger BGV button changes to View BGV Summary.
  1. Click View BGV Summary.

  2. The BGV Activity Summary shows the candidate, the number of verified BGV requests, the method, and the overall status. Each verification type shows its own status.



  3. Click on more icon (…) on the BGV Activity Summary to: 
    1. Add BGV Request: Raise another background verification for the candidate.
    2. View Report: View the candidate's BGV report.
    3. Download Report: Download the candidate's BGV report.

Track BGV Requests

To see only the candidates who have a triggered BGV, use the Track BGV tab.
  1. Go to Operations > Onboarding > Track BGV. 
  2. View the verification types and overall record, by clicking on any candidate.



  3. From here, you can track the triggered candidates and view the status of each verification type raised for them.
