Module Rating Import - Performance Appraisal Cycle - Zoho People

The Module Rating Import feature allows administrators to bulk import employee ratings and comments for an ongoing appraisal cycle, ensuring faster data entry and reduced manual effort.

Note: The ratings for KRA, Goals, Competencies, Review questions can be imported for Self, Manager and Multi-rater reviews.

Overview

Using this feature, you can:
  1. Import ratings and comments in bulk
  2. Submit appraisal reviews during import
  3. Trigger workflows automatically
  4. Reduce manual effort in large-scale appraisals

Prerequisites

Before importing:

  • Ensure the appraisal cycle is active
  • Required modules (KRA, Goals, Competencies, Review Questions) are configured
  • Download and prepare the import file in the supported format

How to Import Module Ratings for an Ongoing Performance Appraisal Cycle

(i) Select Appraisal Cycle and Rating type

  1. Navigate to Operations > Performance > Import > Module Rating Import.

    Import can also be performed under Operations > Performance > Appraisal. Click on the appraisal, select the ellipsis icon, and then click Module Rating Import.


  2. Select the ongoing Appraisal Cycle (current)


  3. Choose the Review Type, the review type that can be imported are listed based on the appraisal cycle configuration.
    1. Performance Appraisal (Manager Review)
    2. Self Appraisal 
    3. Multi-rater
  4. Click Import.
    The import configuration window appears.

(ii) Import Configuration

  1. Submit Review: Enable this option to automatically submit the appraisal review during import. If disabled, the imported data will be saved as a draft for further review
  2. Trigger Workflow: Enable this option to automatically trigger the associated appraisal workflow after import. If disabled, the associated workflow will not be triggered.
  3. Click on Download Import File to download the import file for the selected appraisal cycle and enter the ratings for each module.


    This file contains the selected appraisal-applicable employees and their evaluation parameters, such as their Goals, KRA, and Competency, for which ratings and comments can be added and imported. A maximum of 20,000 records can be downloaded and imported at once.

  4. Rating and Comment Configuration: This section displays the configuration defined for the selected appraisal cycle:
    1. Rating Type – Defines how ratings are captured (e.g., Stars)
    2. Allowed Range – Specifies the rating scale (e.g., 1–5)
    3. Rating Enabled Modules – Modules where ratings can be imported
    4. Comment Enabled Modules – Modules where comments can be imported
  5. Click Import.

(iii) Upload Import File

  1. Upload the prepared import file.
  2. Map the fields and click Next.

  3. Review the mapped data and click Next.


  4. The system will process the file and display an Import Summary with:
    1. Added records
    2. Updated records
    3. Skipped records
    4. Error records
      Review the summary to ensure all records have been imported successfully.


(iv) Outcome

After a successful import:
  1. Ratings and comments are updated for the selected modules
  2. Reviews are either:
    1. Submitted automatically, or
    2. Saved as drafts, based on your selection
  3. Workflows are triggered if enabled
