Project Phases

Milestones have been renamed to phases.

Project Phases or project milestones are goal based targets in a project. To access the phases module in Zoho Projects:
  1. Navigate to the left navigation panel and click on Phases in the Overview drop-down.
  2. Click the Group By drop-down and select Project to organize phases under their respective projects. 
To access the phases within a project:
  1. Click Project in the left navigation panel.
  2. Hover over the project and click Access Project.
  3. Click Phases in the top navigation band.

Benefits

  1. Phases are indicators of a project's progress.
  2. Measure project efficiency through phase completion.
  3. Associate phase to a blueprint to automate a predefines process.

Predefined Views

View phases based on preset views.
  1. All Phases: lists all the phases in the project
  2. Active Phases: lists all the active phases including overdue and currently due (yet to be completed)
  3. Completed Phases: lists all the phases that are completed
  4. Overdue & Open: lists all the phases that are past their due date and yet to be completed
  5. Due this week: lists all the phases that are due in the current week
  6. Due this month: lists all the phases that are due in the current month

My Views

View phases related to you.
  1. My Active Phases: active phases owned by you
  2. My Completed Phases: completed phases owned by you
  3. Created By Me: phases created by you
  4. Phases I Follow: phases that you follow

Phase Flag

 Phases can be marked as Internal and External.
  1. Internal: Only portal users can access the phase and its associated entities.
  2. External: Portal and Client users can access the phase and its associated entities.

Phase Details 

  1. Navigate to the left navigation panel and click Projects.
  2. Hover over the project and click Access Project.
  3. Click the Phases tab in the top navigation band.
  4. Hover over a phase and click Open Details to view the phase Details page.

Clicking on a phase will open the details. Users can view the following information:
  1. Task lists: View, access, and create task lists in the phase
  2. Budget (sum of task list budget): Access the phase budget details
  3. Issues: View, access, and submit issues for the phase
  4. Invoices (requires Zoho Invoice integration): Track all phase invoices
  5. Release Notes: View phase release notes
  6. Comments: View and add comments to the phase
  7. Fields (default and custom fields): Access all the phase information
  8. Activity Stream: View all activities in the phase
  9. Chart View: View Task By Status, Task List By Status, Issue Status, and Timesheet Summary Reports
  10. Status Timeline: View all the stages the phase has progressed through and the time spent on each stage. 

 Manage Phase

  1. Hover over an active phase.
  2. Click  to make changes to the phase.
    Edit
     and update its attributes;
    Delete
    if you no longer need it;
    Move the phase to another project;
    Follow the phase and receive updates;

Phases that have tasks with invoiced time logs cannot be deleted.
The Flag can be set while creating a phase or can be modified by editing a phase.

Release Notes

Release Notes has the list of the completed tasks and bugs in the phase.
  1. Click Project in the left navigation panel.
  2. Hover over the project and click Access Project.
  3. Click Phases in the top navigation band.
  4. Hover over a phase and click Open Details.
  5. Click on the Release Notes tab.
  • Skip Weekends and Holiday Settings are used to calculate the number of days:
    • left to complete a phase
    • that have passed the phase due date
    • That are ahead or behind schedule of a completed phase (shown in Completed phases)
  • Click    in the upper-right corner to filter the phases based on the Owner or Type.

Re-oder Milestones option is not there in the 3 dots menu.
