Project Automation in Zoho Projects - Concept
Project automation in Zoho Projects simplifies project management by updating project fields automatically and connecting your projects with other applications. Users can set criteria, trigger an action and send automated notifications.
Use case
Construction: The owner of the construction company would like to track all the worker details, logged hours, and progress of the work, and automate certain processes.
When the project budget exceeds $2 Million, the admin would like the project to be marked as a high priority project and the project owner to be X. When the owner of the project is X, the team associated with the project should be 'Team A'.
HR: A new project is initiated in the organization, and there is a need to recruit new employees in the organization within two months. In this case, this project has to be made as a Strict Project. When the project is marked as a strict project, all the users in the project need to be notified. With Workflow rules, you can set an email alert to be triggered when the Strict Project option is enabled.
Workflow Rules
Project-level workflow rules are associated with project layouts. They automatically trigger actions when specific conditions are met. These rules can be associated with email alerts, and webhooks.
Email Templates
Email templates are pre-defined email formats that you can use for project-related updates.
Email Alerts
Email alerts are notifications sent automatically to one or more project users when a specific action is completed. These alerts can be associated with a workflow to notify users when a rule is triggered.
Webhooks
Webhooks are HTTP notifications that can be sent from Zoho Projects to any other third-party application. Webhooks allow users to automate updates to other applications by configuring it with a workflow rule.
