Time-Based Workflow Rules for Time Logs

Workflow rules help project managers organize time logs by setting criteria and actions that meet project requirements. Zoho Projects allows users to schedule and streamline rules for time logs based on date and time. Scheduling workflow rules helps automate routine functions and eliminate manual intervention.

Create a Time-Based Workflow Rule

  1. Click the Time Logs module from the left navigation panel.
  2. Click Automation in the upper-right corner, then click New Workflow Rule.
  3. Enter a rule title and select Based on Date & Time.
    1. Select On, Before, or After relative to the Date field.
    2. Set the execution time, at a Specific Time (e.g., 01:00 PM).
    3. Choose the frequency: Once, Daily, Weekly, Monthly, or Every (recurring at a set interval in Days).
    4. Set up to X time(s) to limit how many times the rule repeats per time log (this does not limit the total number of times the workflow executes globally).
  4. Select a Layout.
  5. NotesTime-based triggers cannot be applied to All Layouts, an individual layout must be selected.
  6. Add Criteria, then click + Add Action.
  7. Select the required action and click Save Rule.

Create a Time-Based Workflow Rule from Settings

  1. Navigate to Setup ().
  2. Click Automation, then click Workflow Rules.
  3. Click the Time Logs tab, then click New Workflow Rule.
  4. Select Based on Date & Time.
  5. Select a Layout. Time-based rules cannot be created by selecting All Layouts.

    1. An individual layout must be selected.
  7. Add criteria, then click + Add Action.
  8. Add the desired action and click Save Rule.
Notes
Date & Time–based workflow rules cannot be created by selecting All Layouts. Only individual layouts can be selected.
If an archived time log is moved back to active status, the workflow rule will apply again and the count of repetition will resume from where it ended.
