Project Layout Rules

Project layout rules help customize project forms to match different business processes by dynamically displaying relevant information and enforcing data requirements based on predefined conditions.

Layout Rule Types

Conditional Layout Rule

This rule allows you to change the properties of a field based on specified conditions. It can be executed when a project is created or updated.

Idea
For example, if users want to capture the Estimated Budget only for projects categorized as Billable, they can create a condition where Project Type is Billable and use the Show Fields action to display the Estimated Budget field.

Dependent Layout Rule

This rule allows you to display specific field values based on the value selected in another field. This helps simplify the project form by displaying only relevant options.

Idea

For example, if users categorize projects using a primary field such as Project Category, they can configure a dependent field to display only the applicable values for the selected project category.

Create a Layout Rule

  1. Click Setup in the upper right corner of the top navigation bar.
  2. Navigate to Customization > Layout Rules.
  3. Click the Projects tab and then click New Layout Rule in the upper right corner.
  4. Enter the Rule Name, Description, and select an existing Layout. If no custom layouts have been created, only the default layout will be available in the drop-down.
  5. Select the Rule Type and configure the rule:
    • Conditional Layout Rule: Use this rule to change field properties based on conditions.
    • Dependent Layout Rule: Use this rule to display dependent pick list values based on another field selection.
  6. If you select Conditional, choose when the rule should Execute On and configure the condition that triggers the rule.
  7. If you select Dependent, select the Primary Field and the Dependent Field.
  8. Click Save.

Notes

  • If the rule type is Conditional and the condition field uses Is Updated, only the Set Mandatory Field action can be added.
  • If multiple conditions are configured, only the first matching condition and its corresponding actions are executed. Subsequent conditions are not evaluated.

Edit a Layout Rule

  1. Click Setup in the upper right corner of the top navigation bar.
  2. Navigate to Customization > Layout Rules.
  3. Click the Projects tab and hover over a layout rule, then click the more options icon.
  4. Click Edit.
  5. Modify the required details.
  6. Click Save.

Delete a Layout Rule

  1. Click Setup in the upper right corner of the top navigation bar.
  2. Navigate to Customization > Layout Rules.
  3. Click the Projects tab and hover over a layout rule, then click the more options icon.
  4. Click Delete.
  5. Confirm your action.

Layout Rule Actions

Once a condition is configured, you can add actions such as showing fields, showing sections, setting mandatory fields, removing mandatory fields, or disabling fields.

Show Fields

  1. Open the required layout rule.
  2. Click Add Action and select Show Fields.
  3. Select the fields you want to display.
  4. Click Save.

Show Sections

  1. Open the required layout rule.
  2. Click Add Action and select Show Sections.
  3. Select the sections you want to display.
  4. Click Save.

NotesThe default section is not available under Show Sections.

Set Mandatory Fields

  1. Open the required layout rule.
  2. Click Add Action and select Set Mandatory Fields.
  3. Select the fields you want to make mandatory.
  4. If required, select Clear the current value and prompt for a new value when triggered to request a new value when the rule executes.
  5. Click Save.

The Clear the current value and prompt for a new value when triggered option is available only when the condition field is set to Is Updated.

Disable Fields

  1. Open the required layout rule.
  2. Click Add Action and select Disable Field.
  3. Select the fields you want to disable.
  4. Click Save.

Notes
Mandatory fields cannot be disabled.

Limitations

  • A layout rule can contain a maximum of 35 conditions.
  • Users can create up to 200 conditions per layout.
  • There is no restriction on the number of rules that can be associated with a single layout, provided the above limits are not exceeded.
