Issue Layouts & Fields

Zoho Projects supports custom fields and layouts for issues. Create your own fields and use them for customizing issue as per your business requirements.
  • Feature Availability: Enterprise plan
  • Navigate to   Customization >  Layouts and Fields  >  Issues  to create custom fields and layouts for Issues. If you are an admin but unable to access the above path, write to support@zohoprojects.com

What is a Layout?

Issue Layouts are used for creating forms where customers can fill details relevant to the issue. Create unique layouts based on the business requirement.

Initially, all projects will be associated with the standard issue layout. If the standard layout is modified, the changes will reflect in all the associated projects.

Standard Layout

  • Every portal will have a Standard Layout to start with.
  • The standard layout has one default section - the fields in this section can neither be edited nor deleted. They can only be reordered.
  • Users can clone the standard layout and create a new layout. After cloning, they will be able to add new sections and fields to the new layout.

Create Layout

  1. Click   in the upper-right corner of the top navigation band.
  2. Navigate to Customization  >  Layouts and Fields  >  Issues.
  3. Click Create Layout in the upper-right corner.
  4. Select a base layout that you want to build (clone) your new layout on. If you have not created any layouts, the standard layout will be listed in the drop-down.
  5. Enter a Layout Name.
  6. Click  Create.
  • The standard layout and the layouts associated with a project cannot be deleted. You can delete the layout after associating the projects to a different layout.
  • To view the list of layouts available in a portal, navigate to Customization >  Layouts and Fields  >  Issues  >  Layouts.
  • You can also edit a layout's name by directly editing its name in the layout editor screen.

Associate a project with issue layout

  1. Click   in the upper-right corner of the top navigation band.
  2. Navigate to Customization >  Layouts and Fields  >  Issues.
  3. Click the plus icon   to the right of the selected layout.
  4. Select one or more projects from the drop-down to associate. You can also associate project templates with a layout.
  5. Confirm your action.
  6. Click Associate.

View Layout

  1. Click   in the upper-right corner of the top navigation band.
  2. Navigate to Customization >  Layouts and Fields  >  Issues.
  3. In the Layouts section, you can view the list of issue layouts that have been created already.
    The layouts that are listed cannot be reordered.
  4. Click the layout you want to edit, do the necessary changes and save.

Delete a Layout

  1. Click   in the upper-right corner of the top navigation band.
  2. Navigate to Customization >  Layouts and Fields  >  Issues.
  3. Click the Layouts section.
  4. Hover over a layout that you would like to delete and click the trash icon .
  5. Confirm your action.
The standard layout and the layouts associated with a project cannot be deleted. You can delete the layout after associating the projects to a different layout.

Private Layouts

Users can create a copy of existing layouts and mark them as Private layouts. A private layout can only be accessed by users who are part of the projects associated with it.

Enabling the Make private layouts as a default for all the new projects option will automatically create a private copy of the layout with the project title as the layout name.


Make an Existing Layout as Private

Users can change an existing layout as private from the Issue Layout list view.
This option is only available for layouts with only one project linked with them.
  1. Hover over a layout from the list view.
  2. Click Make as Private Layout.

  3. Private layouts can be viewed at the end of the list after refreshing the page.

What is a Section?

The various parts of the layout are called a section. The standard layout has a default section called  Issue information. You can customize each section by adding fields based on the requirements. 

Create or Edit a Section

  1. Click   in the upper-right corner of the top navigation band.
  2. Navigate to Customization > Layouts and Fields > Issues.
  3. Click a layout to add a section.
  4. Drag and drop the Add Section component from the left tray to the layout editor (main panel). Initially, the sections will be named "Untitled Section", "Untitled Section 1", "Untitled Section 2" and so on as you keep adding new sections in the layout editor.
  5. Hover over the section name and edit it.
  6. You can also add new or existing custom fields to your section.
  7. Click Save Layout.

Delete a Section

  1. Click   in the upper-right corner of the top navigation band.
  2. Navigate to Customization  > Layouts and Fields > Issues.
  3. Click a layout to delete a section in the layout.
  4. Hover over the section and click .
  5. The icon will be visible only when all the custom fields inside the section are removed. We recommend you to remove the custom fields first and then delete the section.
  6. Confirm your action.

What is a Field?

Customize fields to collect issue details based on your requirement. You can add a new field or an existing field to your layout. The default fields can neither be edited nor deleted. They can only be reordered. ModuleSeverityIs it Reproducible, and Classification fields can be renamed.

Reporter, Assignee, Created, Last closed time, Modified, Due date, Status & Workflow, Severity, Release Milestone, Affected Milestone, Module, Classification, Is it Reproducible and Flag  are the default fields in a layout.

Create a Custom Field

  1. Click   in the upper-right corner of the top navigation band.
  2. Navigate to Customization > Layouts and Fields > Issues.
  3. Click a layout to add a custom field.
  4. Drag and drop a field type from the New Fields tray into the layout editor (main panel).
  5. Enter a field name.
  6. Select appropriate access permission. (Project Users: Field will be available to only users who are part of the project; Client Users: Field will be available to project and client users; All Users: Field can be made available to all users via the Web to Issue Form).
  7. Select options in Field Information section. PII denotes that the custom field captures Personally Identifiable Information.
  8. Select Encrypt Field option if the data should be encrypted at the back-end.
  9. Set a default value if necessary.
  10. Select Mandatory checkbox if you want the field to be filled compulsorily. 
  11. Click Add to Layout to include the field in the layout. When you cancel, the field is never stored anywhere.
  12. Click Save Layout to update. 

You can create the following custom fields:

Field Type
Description
Single-Line Text
Add one line of text. Single line text fields can be marked as containing Personally Identifiable Information (PII). If you select Encrypt Field, the data will be encrypted at the back-end.
Multi-Line Text
Add multiple lines of text. Hit Enter to key in more information. Multi-line text fields can be marked as containing Personally Identifiable Information (PII). If you select Encrypt Field, the data will be encrypted at the back-end.
Pick List
Create your own drop-down using a pick list. Set values and wrap them under a pick list as per your business needs.
User Pick List
Use this field when you need to store usernames.
Date & Time
Store dates and time in this field.
Date
Store dates in this field.
Eg: Date of Joining, Date of Exit etc
Number
Store numbers in this field. A number can have a maximum of 19 digits. Number fields can be marked as containing Personally Identifiable Information (PII). If you select Encrypt Field, the data will be encrypted at the back-end.
Multi-Select Pick List
Create drop-downs with multiple selections.
Multi User Pick List
Use this field when you have to store and select multiple users from the drop-down.
Checkbox
Create checkbox type fields.
Currency
Store currency value in this field. This field can be marked as Personally Identifiable Information (PII). If you select Encrypt Field , the data will be encrypted at the backend.
Eg: USD, AUD, INR.
Percentage
Enter percentage value in this field.
Decimal
Store decimal numbers in this field. A number can have a maximum of 14 digits before the decimal point. Decimal fields can be marked as containing Personally Identifiable Information (PII). If you select Encrypt Field, the data will be encrypted at the back-end.
Email
Store email addresses in this field. This field can be marked as Personally Identifiable Information (PII). If you select Encrypt Field , the data will be encrypted at the back-end.
Eg: Email Address
Phone
Store contact numbers in this field. This field can be marked as Personally Identifiable Information (PII). If you select Encrypt Field , the data will be encrypted at the back-end.
Eg: Contact Number
URL
Store URLs or links in this field. This field can be marked as Personally Identifiable Information (PII). If you select Encrypt Field , the data will be encrypted at the back-end.
Eg: Company Website, Application URL

Edit Custom Field

  1. Click   in the upper-right corner of the top navigation band.
  2. Select Customization > Layouts and Fields  > Issues.
  3. Open the layout editor and hover over the custom field you would like to edit.
  4. Click the pencil icon .
  5. Edit the field properties except the field name. You can change the field name also, but the new name will be reflected in all the projects.
  6. Click Apply changes.

Reorder Custom Field

  1. Click   in the upper-right corner of the top navigation band.
  2. Select  Customization  >  Layouts and Fields  >  Issues.
  3. Open the layout editor and hover over the custom field you would like to reorder.
  4. Drag and swap with another field in the editor. You can reorder the fields as many times as you want until you get the desired order.
  5. Click Save Field Order.

Remove Custom Field

  1. Click   in the upper-right corner of the top navigation band.
  2. Select Customization  >  Layouts and Fields  >  Issues.
  3. Open the layout editor and hover over the custom field you would like to dissociate.
  4. Click   .
  5. Confirm your action.
  • Removing a project custom field will not delete it permanently.
  • The custom field will be moved to the Available Fields tray and it can be reused anytime later from this tray.

Delete Custom Field

  1. Click   in the upper-right corner of the top navigation band.
  2. Select Customization > Layouts and Fields  >  Issues  >  Fields.
  3. Hover over the field you would like to delete.
  4. Click . The data stored in the field will be lost
  5. Confirm your action.

Create a Custom Status

  1. Click   in the upper-right corner of the top navigation band.
  2. Select Customization   >  Layouts and Fields  >  Issues  >  Fields.
  3. Open an existing layout or create a new layout.
  4. Click   on the right-side of Status & Workflow.
  5. Change the default status for an issue under Set Default Status section.
  6. Click the +Add Status link to create a new issue status.
    A new status will fall under either Open or Closed status types.
    Default Status can't be deleted and there should be at-least one open & one closed status.
  1. Give a status name.
  2. Click to the left of the status name to assign a color. Pick any color from the palette that matches the status name and type.
  3. Define a Workflow by selecting the next available status. The workflow is determined by the next available status specified in the box.
  4. Click Apply changes to add the Status.

Create a Workflow

Workflow helps you to create a sequence of status which can be used to indicate the stage an issue is in.
  1. Click   in the upper-right corner of the top navigation band.
  2. Select Customization  >  Layouts and Fields  >  Issues  >  Fields.
  3. Open an existing layout or create a new layout.
  4. Click   on  the right-side of Status & Workflow.
  5. Change the default status for an issue under Set Default Status section.
  6. Click the +Add Status link to create a new issue status.
    1. A new status will fall under either Open or Closed  status types.
    2. Default Status can't be deleted and there should be at-least one open & one closed status.
  7. Create a Workflow by selecting the next available status from the drop-down.
  8. Click    on the status name to delete it from the Workflow.
  9. Click Done to save the Workflow.
  10. Click Apply Changes to update.
