Macro Rules

Macro Rules allow users to update tasks in bulks based on certain conditions. If the conditions are met when the rule is applied, selected task fields can be updated with predefined values.

For e.g., if a set of tasks need their assignee updated in bulk, either due to change in nature of role or status of employment, users can create a macro rule to update all such tasks.

Users can execute this rule to assign the tasks to Monica Hemsworth, if the current assignee is as per the criteria, the task priority is low, and if the project is a strict project. 
Availability: Latest user based Enterprise plan

Create a Macro Rule

  1. Navigate to   > Task Automation > Macro Rules.
  2. Click New Macro Rule.
  3. Enter a rule name.
  4. Enter a description and and select layouts to apply this rule. Click Next.
    The Macro Rule will be applied to only those tasks that are present in projects associated with the selected layout.
  5. Click Add Criteria + to enter a criteria.
  6. Hover over a criteria and click to the right to enter multiple criteria for the rule. Click Done.

  7. Click + Update Field.
  8. Select the field to be updated and enter the value.
    Multiple fields can be selected by clicking .
  9. Click Update.
  10. Click Save Rule.
  1. If no criteria is selected, executing the macro rule will update the selected fields for all the tasks based on where it is executed from.
  2. A maximum of 20 rules can be associated with a layout.

Execute a Macro Rule

Macro rule can be executed from the setup, Milestone Details, Task List Details, or Task Details page.

From Setup

  1. Navigate to   > Task Automation > Macro Rules.
  2. Hover over a rule and click the Other Actions icon ().
  3. Click Execute Macro Rule.
  4. Select Project or Project Template.
  5. Select the Milestone and Task List.
  6. Click Execute.
    The fields will be updated based on the criteria and values entered when creating the rule.
Unchecking the Execute only if macro rule criteria matches option will apply the field update to all the tasks.

From Milestone Details

  1. Click on the required milestone to open its details.
  2. Click Milestone Actions icon ().
  3. Click Execute Macro Rule.
  4. Select a rule and the click Execute.
    The rule will apply to all the tasks in the milestone subject to the criteria set.

From Task List Details

  1. Click on the required task list to open its details.
  2. Click on in the upper-right corner of the details page.
  3. Click Execute Macro Rule.
  4. Select a rule and the click Execute.
    The rule will apply to all the tasks in the task list subject to the criteria set.

From Task Details

  1. Click on the required task to open its details.
  2. Click on in the upper-right corner of the details page.
  3. Click Execute Macro Rule.
  4. Select a rule and the click Execute.

Edit Macro Rule

  1. Navigate to   > Task Automation > Macro Rules.
  2. Hover over a rule and click the Other Actions icon ().
  3. Click the edit icon ().
  4. Make the changes and save the rule.

Delete Macro Rule

  1. Navigate to   > Task Automation > Macro Rules.
  2. Hover over a rule and click the Other Actions icon ().
  3. Click the delete icon ().
  4. Confirm the deletion and then click Delete.

Reorder Macro Rules

  1. Navigate to   > Task Automation > Macro Rules.
  2. Hover over a rule and click and hold the Reorder icon ().
  3. Drag and drop the rule to the new location.
