Permission Sets

Zoho Projects offers better control over the access levels a user has in the portal. Profile permissions have been divided into three sections. Portal Level, Project Level, and Module Level. Each permission in these sections lets users handle host of activities and/or features inside the portal. Here is a breakdown on what you can and cannot do when the permissions are enabled.

Portal Level Permissions

Portal level permissions are available only for project users. Client profile users will not have portal level permissions.

Global Reports
Users can view Milestone Gantt, Workload Report, and Project Timeline Gantt from Global reports section.

Manage Users & Clients
Manage portal and client users. Add Users & Clients permission will also be enabled. Disabling Add Users & Clients permission will disable Manage Users & Clients permission.
View, add, edit and delete portal and client users (except Admins), follow users in the portal. Import users from Zoho CRM, Zoho Mail Suite, MS Projects, and Google Apps.
Add Users & Clients
Add new portal users/clients.
Without Manage Users & Clients permission, the user will only be able to add new users/clients to the portal from inside the project. User will not have access to Portal Users and Client Users sections in Global Settings.
Profiles & Roles
Users can view, add, edit, and delete Profiles and Roles.

New Project
Users can create new projects.
Import MPP files (from projects and settings),Project ICS, view Project Timeline Gantt, Export Projects.
Trash or Restore Projects

Users can trash and restore the trashed projects.

 
Delete Projects Permanently
Users can delete projects permanently from trash.
Includes permission to delete project templates.
Manage Archived Projects
Users can archive a project and move it back to active status. User will not have the permission to move an archived project to trash.

Manage Project Templates
Users can create and edit project templates. Users cannot delete a project template.

Manage Project Groups
Users can create and edit project groups. Users cannot delete a project group

Project Automation, Layouts, & Fields
Users can setup and manage project automation. Users can also create, edit, and delete Project layouts & custom fields.

Task Templates
Users can view, add, edit, and delete task templates,

Task Automation, Layouts & Fields
All: Users can view, add, edit, and delete public layouts and associated task automation

Users can view, add, edit, and delete private layouts associated with projects the user is part of and all the associated task automation.

Relevant: Users can view, add, edit, and delete public layouts associated with projects the user is a part of and all the associated task automation.

Users can view, add, edit, and delete public layouts which don't have any projects associated with them.

Users can view, add, edit, and delete private layouts associated with projects the user is part of and all the associated task automation.



Project Budget
Enable Project Budget setting.
 
Teams
Create teams and associate them with projects.

All Teams: User can create or associate teams and assign team leaders.,

Teams a User Leads: User can create teams and appoint themselves as leads. User can also associate teams they lead to projects.
Users having this permission will be listed as  Team Leads in the Add Team form.
Issue Layouts & Fields
Create, edit, and delete Issue layouts & custom fields.
 
Timesheet Layouts & Fields
Create, edit, and delete Timesheet layouts & custom fields.

Phase Layouts & Fields
Create, edit, and delete Phase layouts & custom fields.

Tags
Create, update, and delete tags.

Web Tabs
Create, edit, and delete web tabs.

Resources
Create, edit, and delete resources.

Schedule Functions
Users can schedule custom functions.


Notes
  1. Only Portal Owners can add Admins to the portal.
  2. Portal level permissions can be granted only to user profiles.

Project Level Permissions

Project permissions can be given to user profile and client profile users. Client profile users can be given access to forums, pages, and events only.

Associate Users / Clients / Teams
Add existing portal, client users to projects.
Associate or Dissociate users/clients/teams, follow other users in the project, export project users, view profile permissions, customize user permissions inside a project (except for admins and project owner). This permission along with Users & Clients will let user access project filters in the projects list view.
Add/Associate WorkDrive Team Folder
Users can create a WorkDrive team folder or associate an existing one.
Includes permission to manage users in WorkDrive and Disassociate Team folder.
Create Baseline
for Project
Users can create Baseline from task Gantt view in a project.

Delete Baseline
Users can delete Baseline from task Gantt view in a project.
 -
View Baseline
Users can be given permission only to view the Baseline from task Gantt view in a project.

Notes
  1. Project owners will have all permissions inside the project irrespective of their profile.
  2. You can give access to only external forums, pages, and events for client profile users.

Project Field Level Permissions

Click  next to Project Permissions to customize field level permissions for Projects.
Based on the field access permission, the user profiles will be able to view or edit the fields. The access permissions can be customized for both default and custom fields, however, you cannot hide the default fields.
  1. VIEW/EDIT : Users can view or edit the field value.
  1. VIEW ONLY : Users can only view the field.
  1. HIDE : Users cannot view the field.


Module Permissions

This section lets you set permissions at a granular level. These can be applied to both user and client profiles.

To view the planned vs actual report, select All permission in timesheet and All permission in task.
Related:  The users can only view the tasks that are created by them, assigned to them, wherever they are @ mentioned or selected in a pick-list field.

None:  Users cannot view any tasks in the project.

Filter My Tasks by assignee, export My Tasks , mark task lists as complete, drag & drop subtasks, convert subtasks to tasks, update tasks in bulk (classic and plain view), create custom views with accessibility permissions. Set dependency between all tasks.

None: Users cannot edit any tasks in the project.

Delete

Owned: Users can delete tasks assigned to them and other unassigned tasks.

Added: Users can delete tasks added by them and other unassigned tasks.
Both: Users can delete tasks added or owned by them and other unassigned tasks.
All: Users can delete all tasks in the project.
None: Users cannot delete any tasks in the project.
Reorder
Users can reorder tasks from the task lists in the project.

Users can add followers to all tasks in the project.

Field Level Permissions

In the module permissions for tasks, phases, and issues, click  to customize Field level access permission. In Assign Task permission (for Tasks), there are two options based on which the user profile can assign tasks.

  • TO SELF : Users can assign tasks to themselves.
  • TO OTHERS : Users can assign tasks to others.

Also, it is based on the edit permission given for tasks. For example, if you select “Owned” in edit permission and select both the options "To self" and "To others" in Assign Task permission then the user profile can assign their tasks to others, and pick up any unassigned tasks or assign them to others. However, if you select only one option "To self", the user profile can only pick up the unassigned tasks but they cannot assign them to others. 


Based on the field access permission, the user profiles will be able to view or edit the fields. The access permissions can be customized for both default and custom fields, however, you cannot hide the default fields.

  • VIEW/EDIT: Users can view or edit the field value.
  • VIEW ONLY: Users can only view the field.
  • HIDE: Users cannot view the field.

You can also customize the field permission for user profiles in Layouts and Fields.

Comment Permissions

Customize permissions for editing or deleting comments to the modules. (This requires View permission for the module).

Other Permissions

Users can be granted permissions to link issues or associate tasks to issues and vice-versa.

Sprints Permissions

Profiles can be used to grant permission to add projects, tasks, & issues to Zoho Sprints.
