Zoho Projects allows you to break your existing tasks into subtasks. By creating subtasks, you can organize your work. With subtasks, you can track the progress of the task and get it done on time. Like tasks, you can set the priority, duration, % completed, assignee, start date, and end date for subtasks.

- A parent task can have up to 6 levels of subtasks (each subtask can have a subtask of its own and so on up to a limit of 6)

For example, as a project manager overseeing a web development project, you can effectively utilize the subtasks feature to streamline the project. A task of redesigning an eCommerce website for a retailer, you can break down the main task into specific subtasks: User Interface Overhaul, Payment Gateway Integration, Mobile Optimization, and Security Enhancements. You can set priority, duration, % completed, assignee, start date, and end date for each subtask to track progress. You can quickly reorder subtasks and also convert between parent tasks and subtasks. The roll-up feature provides a consolidated view of timelines and work hours, aiding in efficient project management.
Import subtasks from MS projects
Import subtasks along with your existing tasks, while you import your MS project files into Zoho Projects.
- Select a project either from the Recent Projects section or the Projects tab in the left navigation panel.
- Navigate to the Tasks tab in the top band.
- Click
in the top-right corner and select Import Task.
- Select the file type and choose a file that you want to upload.
- Click Import to import the file to your project.
- Map the columns in the MPP file with the list of fields available in the tasks module. To import subtasks, Parent Task ID and Parent Task Name should be mapped to the corresponding entries in the .mpp file. Select the date format.
- Select if you want to keep the tasks unassigned or mapped to project users.
- Click Continue to import the tasks into Zoho Projects.

Add subtasks
- Select the Tasks module, then click the task for which you want to add the subtask.
- Click Subtasks in the task details page, then click Add Subtask.
- Enter the name of the subtask and click Enter to add the subtask.
- Alternatively, right-click on the task and click Add Subtask.
- You can also drag and drop tasks to create subtasks. The dragged task is added as a subtask beneath the task it is dropped.
Points to remember when you create subtasks in Zoho Projects:
- Closed tasks cannot be indented.
- Subtasks cannot be created for closed tasks.
- Only a few tasks other than the applied criteria may also be displayed, so as not to break the hierarchy.
- Closing a parent task will close all its subtasks.
- To reopen a subtask, the parent task needs to be reopened.
Reorder Subtasks
You can reorder subtasks from the task's List or Gantt view.
- Hover over a subtask and click on the reorder icon (
).
- Drag and drop a subtask within the same parent task to reorder it.
- Drag and drop the task on another parent task to convert it into a subtask.
- Drag and drop the subtask outside its parent task to convert it to a parent task.

Collapse Subtasks in List / Gantt view
- Subtasks can be collapsed with a single click.
- Select a project and navigate to the Tasks module and open List or Gantt view.
- Click
to collapse or expand subtasks.
Collapse Subtasks in Kanban view
- Select a project and navigate to the Tasks module and open the Kanban view.
- Click
and switch the Collapse Subtasks' toggle on or off to collapse or expand the subtask
Subtasks in Gantt
You can view and create subtasks from the Gantt chart.
- Click the required task to view the task details page. Click the Add Subtask button under the Subtasks tab to create a new subtask.
- Alternatively, right-click on the task and click Create Subtask.
- Enter the subtask name and click Enter.
- Hover over a subtask, then drag and drop to reorder the subtask.
Subtasks in Templates
- You can create a new task template and add tasks along with subtasks and save this template for your future projects.
