Cooling-off Period

The Cooling-off Period in Zoho Recruit helps maintain an organized recruitment process by setting a mandatory wait time before a candidate can reapply or be referred to a new job. This helps reduce repeated applications and ensure better candidate flow across sourcing channels.

What is the Cooling-off Period?  

The Cooling-off Period is a defined duration—measured in days or months—during which a candidate is restricted from:

     Reapplying to job openings
     Being referred to another job

The period starts from the Last Referred Time—the moment a candidate was last referred, associated, or applied to any job opening, regardless of the source.

Where Does the Cooling-off Period Apply?  

The feature is applicable in the following areas:

  1. Vendor Portal
    Prevents vendors from submitting the same candidate to multiple jobs within the defined period.
  2. Employee Referral
    Ensures employees cannot re-refer candidates immediately after their previous application.
  3. Career Site
    Stops candidates from applying to multiple jobs in quick succession after being rejected.

How to Set Up the Cooling-off Period  

To configure the Cooling-off Period:

  1. Navigate to Setup > Portal Setup > Portal.



  2. Go to the Cooling-off Period tab and enable the toggle.



  3. Enter the desired duration (in days or months)



  4. Choose where to apply the Cooling-off Period:

    • Vendor Portal

    • Employee Referral

    • Career Site

  1. Click Update.

Customizing Alert Messages  

You can tailor the message that appears to candidates or vendors when the Cooling-off Period is active. This helps set clear expectations and maintain a transparent experience.

To customize alerts on the Vendor Portal or Career Site:

  1. Click Customize Alert.

  2. Edit the message as needed.

  3. Click Save.

  4. To restore the original message, click Reset to Default.

  1. Choose the Right Duration
    Align the Cooling-off Period with your hiring pace and application volume. For high-traffic roles, a longer duration may help streamline candidate flow.

  3. Review Regularly
    Periodically assess how the Cooling-off Period is working. Adjust the duration or alert messaging based on recruiter and candidate feedback.

  1. Is the Cooling-off Period mandatory to configure?
    No, you can choose to enable it only if it suits your recruitment process.

  2. What happens if an existing candidate tries to apply for another job when the Cooling-off Period is enabled?
    The system will check if the Cooling-off Period is active. If yes, it will compare the candidate’s Last Referred Time with the duration you’ve set. If the candidate falls within the Cooling-off Period, they’ll see the configured alert message.

  3. Can I enable the Cooling-off Period for the Candidate Portal?
    The Cooling-off Period cannot be applied directly to the Candidate Portal. If candidates try to apply from the Candidate Portal, they will be redirected to the Career Site, where the Cooling-off Period rules will apply.

  4. When should I apply the Cooling-off Period in my company?
    It’s useful when you receive multiple duplicate applications for the same candidate across different channels. Applying it can help reduce clutter, improve sourcing quality, and save recruiter time.

  5. Can I set a different Cooling-off Period duration for each channel?
    No, the same duration applies across all selected channels.
