Zoho Books/Invoice for Zoho Recruit

Managing billing alongside hiring can quickly become fragmented when handled across separate systems. With the Zoho Books/Invoice integration, recruiters can generate and send invoices directly from job openings, using predefined templates and client contact details. This ensures a seamless transition from closing a role to initiating billing, while maintaining accuracy and reducing manual effort.

How to enable the Zoho Books/Invoice integration

  1. Go to Setup > Marketplace > Zoho.

  2. You will find both Zoho Books and Zoho Invoice listed here. Pick which one you wish to integrate with Zoho Recruit by clicking Setup Now.

    1. Zoho Invoice handles billing and payments, while Zoho Books is a comprehensive solution that manages your complete business accounting.
  3. Upon enabling the integration, a new module named Invoices will be added in your account.

Duplicate Check

When enabling the integration, Zoho Recruit checks for existing customer records in Zoho Books to avoid duplication and maintain clean financial data. Based on your preference, you can choose how duplicate records should be handled.


If a matching customer record already exists in Zoho Books, you can link it to the corresponding contact record in Zoho Recruit. This ensures that all invoices generated for that client are associated with the existing customer profile, maintaining continuity in billing history.

Create Duplicate Customer

If you prefer to keep records separate, you can create a new customer in Zoho Books even when a similar record exists. This option is useful when you want to manage billing independently for different business contexts or divisions.

Keep in mind that you will need duplicate Display Names to be allowed for customers and vendors in Zoho Books if you wish to pick this option.

Generating Invoices

Once the integration is enabled, you can generate invoices for job openings directly from Zoho Recruit. By leveraging templates configured in Zoho Books, invoices can be created with relevant client and job details, and shared with client contacts through email for faster processing.
  1. Go to the Invoices module and click Create Invoice.

  2. In the Create Invoice pop-up, select a job opening. This will auto-populate the contact and revenue per position fields. Enter the number of candidates hired and click Next.

    1. While enabling the integration, if you had selected the Link Existing Customer option under Duplicate Check, you will be able to link customers in Zoho Books with contacts in Zoho Recruit.
  3. Review and add items to the invoice table and click Save and Send.

    1. You can also save the invoice as a draft if any changes need to be made.
  4. You can then customize the email and send the invoice to contacts.

Customizing Invoice Templates

The templates used to generate invoices can be found in Zoho Books under Settings > Customization > PDF Templates > Invoices. Whatever template has been set as default in Zoho Books will be used to generate invoices in Zoho Recruit.
