Working remotely or not, instant chat messaging is always a necessity. For remote recruiting teams it is one of the most effective ways to stay connected, Even for teams working out of an office, it saves a huge amount of time by helping you get away with the hassles of booking a meeting room, sending calendar invites, setting up reminders and more.
The Zoho Cliq integration is just what you'd need. Apart from being an absolute time saver, it helps recruiting teams across stay connected and be updated. So, if at any point of time you need to discuss about a candidate, a job or get feedback about an interview, just share the record directly from Recruit onto Cliq and keep work going on.
The Zoho Cliq integration enables you to:
- Share records with users and channels in Cliq.
- Share and schedule a report or dashboard from Cliq.
- Share status change updates made via workflows to users or channels.
Sharing Data with your colleagues
You can share records with users and channels in Cliq directly via Zoho Recruit. This includes all the supported modules that have a business card view. You can also share a chart from a Recruit report or dashboard with users and channels in Cliq.
Note: We will not share Personally Identifiable Information (email, secondary email, mobile, phone) of candidates and contacts.
Sharing a record
- Go to the details page of the record that you want to share.
- Click the More Options icon and select Share via Cliq.
- In the pop-up, enter the following details:
- Enter a message that needs to be posted along with the business card view in Zoho Cliq.
- Choose if you want to notify users or channels.
- Based on the previous choice, select the required user/channel.
- Click Share.
- The record is instantly shared with the chosen channel or user in Zoho Cliq.
Sharing a report / dashboard
Before we begin, do remember that reports only with charts can be shared.
- Go to the details page of the report you want to share.
- In the report's page, click Chart Options > Share via Cliq.
- In the pop-up, enter the following details:
- Enter a message that needs to be posted along with the report.
- Choose if you want to notify users or channels.
- Based on the previous choice, select the required user/channel.
- Click Send.
- The chart is instantly shared with the chosen channel or user on Zoho Cliq.
Trigger Notifications in Zoho Cliq via Workflow Rules
Zoho Recruit has been enabled with workflow rules that can be customized to help automate routine hiring activities based on specific criteria. Upon enabling the Zoho Cliq integration, you can now trigger notifications to specific channels/users on Zoho Cliq and to Zoho Recruit users associated with the modules.
Instant notifications can be sent to:
- Users or Channels present in your Zoho Cliq.
- Users who are associated with the module for which you are configuring the workflow rule.
- Record owners, record creators, and custom user field from a related module.
Get the Zoho Recruit Bot
Users can also subscribe to the Recruit Bot which will send timely notifications to users on Zoho Cliq. You can configure up to five notifications/conditions at a time.
Enter Commands to fetch Records
Slash commands (or Cliq commands) make record sharing/referring between Zoho Recruit and Zoho Cliq instant and efficient. These quick and easy commands let you fetch specific records from Zoho Recruit without having to exit your chat window. Add context to your discussions, and pull up data such as interview schedules, candidate records, job opening records, and more in your Zoho Cliq chat.
Command: /zohorecruit <Module Name> <Record Name>
To enter a Cliq command;
- Go to the particular chat window where you wish to share Recruit info.
- In the message box enter the command seen above.
- As you type the command, you will be offered a list of matching results to choose from.
- Choose the record you wish to post in the chat.
The business card view of the record is displayed.
- Click Post in this conversation to send the record information to the user/channel.
Add Notes
You can add notes to the existing records in the Job openings, Candidates, and Interviews module directly from the Cliq chat or channel by clicking on the More icon and click Add Notes to Recruit.
In the pop-up, select the module and record to which you wish to add a note. Once you've entered the note title and note content, click Add Note.
The note is then added to the selected record in your Zoho Recruit account. You can find it in the record's related list under Notes.
Associate Job
You can associate a job openings with existing records in the Candidates module directly from your Cliq chat or channel by clicking on the More icon. This way, when you receive candidate reviews or referrals from your colleagues, you can associate them to a job opening in an instant. In the pop-up, click Associate with Job.
In the pop-up, select the job opening and candidate you wish to associate. Enter any comments you want to make under the note content text box and click Associate.
The note can be found in the record's related list under Notes.
Add Ratings and Reviews
If you want to add ratings and reviews to a candidate record, you can do it from the Cliq channel or chat by clicking the More icon and click Ratings & Reviews.
In the pop-up, select the module and record to which you wish to add a rating. Once you've chosen the rating and note content, click Submit Rating.
The rating can be found in the record's related list under Rating and Reviews.
Disable Cliq Integration
You can deactivate the entire integration by clicking on the Disable link. On deactivating, all the options in Zoho Recruit to Share via Cliq will no longer be available.
To deactivate the Cliq integration
- Log in to Zoho Recruit with Administrator privileges.
- Go to Setup > Marketplace > Zoho > Zoho Cliq.
- Click the Disable button
