Configure IMAP Account

Whether you’re hiring for your company as a HR recruiter or if you're a staffing agency managing multiple clients, you're constantly inundated with emails. This is why Zoho Recruit aims to provide a seamless email communication experience.

Configuring IMAP in Zoho Recruit helps you sync your emails across multiple email clients. Your email activity syncs across all platforms, giving you complete access to them.

For Zoho Mail

  1. Go to Setup > General > Email Settings > Configure and click Get Started.

  2. Choose Zoho Mail from the list of email services.

  3. Select the IMAP option.

  4. Enter your account credentials and click Continue.

  5. You can then choose to import any filters you've configured in your inbox to save time.
  6. If you've enabled Multi-Factor Authentication in your Zoho account, you will need to enter the App-specific password 
    and not your regular email password.
    1. In Zoho Accounts, go to App Passwords and click Generate New Password.
    2. Enter the App Name and click Generate.
    3. Copy your password and click Close. Keep in mind that you won't be able to view or copy this password again later. 
  7. Click Server Details to view the incoming and outgoing server settings. This section will be populated automatically on selecting one of the popular IMAP Integrations (except Other).
  8. Under Email Sync Settings, select the date range for which you would like to sync emails from your inbox.

  9. Choose the Email Sharing Permissions and click Save.
  10. Your emails will then begin syncing. You will receive a confirmation email once the sync is complete.

For Gmail accounts

  1. Go to Setup > General > Email Settings > Configure.
  2. Under Popular Email Services, select Gmail.

  3. Choose the IMAP option.

  4. Enter your Name and Email Address, then click Authenticate with Google.

  5. You can then choose to import any filters you've configured in your inbox to save time.
  6. Sign in with your Gmail account by entering your email or phone number.
  7. Review Zoho Recruit’s Privacy Policy and Terms of Service, then click Continue.
  8. Grant access to allow Zoho Recruit to read, compose, send, and permanently delete your Gmail emails, then click Continue.
  9. Your email will begin syncing, and you’ll receive a confirmation email once the sync is complete.

For Office 365 accounts

  1. Go to Setup > General > Email Settings > Configure.
  2. Select the Office 365 option while configuring your email address.

  3. Select the IMAP option.

  4. Enter your Name and Email Address.
  5. Under Email Sync Settings, select the date range for which you would like to sync emails from your inbox. Click Authenticate with Microsoft when you are done.
    1. You can then choose to import any filters you've configured in your inbox to save time.

    2. Sign in to your O365 account and provide any permissions they request.
    3. Click Save to finish the setup. Your emails will now start syncing within Zoho Recruit.

    For Yahoo Mail accounts

    To configure your Yahoo account via IMAP in Zoho Recruit, and you have the TFA service enabled for it, follow the instructions below to generate the app-specific password for your Yahoo account.
    1. Go to Setup > General > Email Settings > Configure.
    2. Under Popular Email Services, select Yahoo Mail.

    3. Choose the IMAP option.

    4. Enter your Name and Email Address, then click Continue.
    5. You can then choose to import any filters you've configured in your inbox to save time.
    6. If you've enabled Multi-Factor Authentication in your Yahoo account, you will need to enter the App-specific password 
      and not your regular email password.
      1. In your Yahoo account, hover over your Profile and click Account Info.
      2. Click View Account Recovery Options.
      3. Under the App Password section, click Generate App Password.
      4. Enter the App Name and click Generate Password.
      5. You can then copy & paste the generated app-specific password in Zoho Recruit.

    View Emails

    When the IMAP account is set up, your sent and received emails will be associated to the candidates/contacts in Zoho Recruit, under the Emails related list. These include emails sent to the Primary as well as Secondary Email addresses of candidates/contacts.

    Emails in this related list can be sorted based on users who have shared their email account while setting up their IMAP account. You can either select All from the drop-down list or the specific user to view the email. Note that the option to view All emails is supported only in IMAP configuration.

    To view emails of candidates/contacts;
    1. Go to the Candidates / Contacts module and click on a record.
    2. Under Related List > Emails, select the desired IMAP user from the picklist field.
    3. You can then view emails sent by the user to the candidate/contact.
