Activating AI Assist in Zoho Recruit
To enable AI Assist for your account;
- Navigate to Setup > Zia > AI Assist and activate the toggle.
- Enter your Secret Key configured in OpenAI and click Activate Now. Click Find my Secret Key if you require assistance.
- Go through OpenAI's Usage Policy and click Proceed.
- AI Assist will then be enabled for all users in your account. Once enabled, you can change the configured Secret Key by clicking Edit ✎ icon.
Important Note:
- AI Assist operates based on your unique Secret Key configured in your OpenAI account.
- AI Assist will be available only if English is selected as your default language. This setting can be changed from Setup > General > Personal Settings.
- Only users with the Administrator profile can enable AI Assist. Once enabled, users with the required profile-permission will be able to view the AI Assist button. Learn More
- AI Assist can be accessed while working with Email, SMS, Messaging & Job Templates. Additionally, you can also access AI Assist while sending Emails/SMS, creating job openings, and more.
- The word count in the prompt includes all visible words and hidden characters like spaces, punctuation and special characters. Learn More
- AI Assist is only available for the United States, Europe, Australia and India regions as of now.
Working with AI Assist
For Job Templates
To use AI Assist with Job Templates;
- Navigate to Setup > Customization > Templates > Job Templates and Edit a template.
- Hover your cursor over Zia Assist and click Open Prompt.
- Choose from a list of pre-defined prompts to craft captivating content.
- You can also enter custom prompts to perform unique edits.
- Undo/Redo edits and Copy text to your clipboard using their respective icons within the editor.
- Specify/Modify core details related with the role from the Key Fields section.
- Click the Insert Job Description icon, close the editor when you're finished and click Save.
For Job Openings
To use AI Assist with Job Openings;
- Navigate to the Job Openings module, click on a job and click Edit.
- Hover your cursor over Zia Assist and click Generate Job Description when you're starting from scratch.
- Specify key details to generate a detailed job description.
- Use prebuilt/custom prompts to personalize the generated content.
- Click the Insert Job Description icon, close the editor and click Save or Save & Publish.
For Email Templates
To use AI Assist with Email Templates;
- Navigate to Setup > Customization > Templates > Email Templates and Edit a template.
- Hover your cursor over Zia Assist and click Open Prompt.
- Choose from a list of pre-defined prompts to generate email content. Additionally, you can also enter custom prompts to perform unique edits.
- Undo/Redo edits and Copy text to your clipboard using their respective icons within the editor.
- Specify text Length and Tone and click Update.
Click the Insert Email Content icon, close the editor when you're finished and click Save.
For Emails
To use AI Assist for writing Emails;
- While in the Send Email page, hover over the Zia Assist button and click Open Prompt.
- Choose from a list of pre-defined prompts to generate email content. Additionally, you can also enter custom prompts to perform unique edits.
- Undo/Redo edits and Copy text to your clipboard using their respective icons within the editor.
- Specify text Length and Tone and click Update.
- Click the Insert Email Content icon, close the editor when you're finished and click Save.
For SMS Templates
To use AI Assist with SMS Templates;
- Navigate to Setup > Customization > Templates > SMS Templates and Edit a template.
- Hover your cursor over Zia Assist and click Open Prompt.
- Choose from a list of pre-defined prompts to generate email content. Additionally, you can also enter custom prompts to perform unique edits.
- Undo/Redo edits and Copy text to your clipboard using their respective icons within the editor.

For SMS
To use AI Assist while sending an SMS;
- Navigate to the candidate record and click More > Send SMS.
- Hover your cursor over Zia Assist and click Open Prompt.
- Choose from a list of pre-defined prompts to generate email content. Additionally, you can also enter custom prompts to perform unique edits.
- Undo/Redo edits and Copy text to your clipboard using their respective icons within the editor.
- Specify text Length and Tone and click Update.
- Click the Insert SMS Content icon, close the editor when you're finished and click Save.
Generating Disclaimers
Using AI Assist, you can generate concise and informative disclaimers for any Custom 'From' Address you create and your Unsubscribe Link (used in emails).
To access AI Assist while generating disclaimers;
- Go to Setup > Customization > Templates and click Custom From Address or Unsubscribe Link.
- Hover over the Zia Assist button and click Open Prompt.
- You can then use predefined or custom prompts to generate content, specify text tone and length and insert the content directly into the textbox. Once you are finished, click Save.

Tokens
Tokens, the building blocks of ChatGPT's language engine, are essential units used to create responses and understand your prompts. They are available to both free and ChatGPT Plus users, forming the basis for communication within the system. See More Note:
- Free users have a limited number of tokens, suitable for basic conversations.
- ChatGPT Plus users have access to a larger pool of tokens, allowing for more extensive and detailed interactions within the integrated platform.
Credits
Credits act as a form of currency within ChatGPT's capabilities. They determine how much text you can generate and access within the integrated platform.
Note:
- Free users do not receive any credits by default.
- ChatGPT Plus users will receive credits based on their plan
- Different ChatGPT Plus plans offer varying credit allowances, granting access to different levels of text generation and premium features.
