Everything starts with a conversation, especially in recruitment. The way you communicate with a candidate can greatly influence them. At Zoho Recruit, we have come up with a solution that benefits both recruiters and candidates.
Introducing Zoho Recruit's Chatbot. Find matching jobs, register candidates to your portal, and track existing applications with the help of Zia, your personal AI assistant. The chatbot can be accessed from both the Career Site pages and the Candidate Portal.
Availability
Permission Required: Only users with the Administrator profile can make changes to the feature.
Edition Required: Available for the Enterprise plan for both Staffing Agency and Corporate HR editions of Zoho Recruit. Also available for users with Zoho One and People Plus subscriptions.
Configuration
To configure the chatbot feature;
- Go to Setup > Zia > Chatbot. Enable the toggle and click Configure to customize the feature.
- Firstly, personalize the chatbot by giving it a persona in the Bot Details section.
- Next up, choose how the chatbot will be triggered in the Trigger Settings section.
- Finally, enter your organization's details if you wish to display it to candidates. You can control the visibility using the toggles provided beside the respective sections. You can make use of markdowns to further beautify your message.
- Use the syntax displayed in the pop-up and add formatting to your text.
- Once configured, the chatbot will be enabled by default in all of your Career Site pages. You can enable/disable the chatbot widget from the Career Site customization page.
Functions
Zoho Recruit's Chatbot offers several key functionalities to streamline the recruitment process for both recruiters and candidates. These functions are designed to enhance user experience and ensure that candidates find the best job matches based on their unique profiles. This helps make your recruitment process smoother and more efficient.
Listed below are the primary functions of the chatbot:
- Find Matching Jobs: Helps candidates find jobs that align with their skills and experiences.
- Create Portal Account: Simplifies the process for candidates to register and create profiles on your portal.
- Track Existing Applications: Assists candidates in managing and tracking their job applications.
Find Matching Jobs
Zia understands candidates as humans with career profiles instead of a string of keywords. This enables her to find “the ideal job" for every candidate as she can match their experiences, skills and proficiencies with the job's requirements and grade them accordingly. As a result, candidates can't apply for any job they wish to as they will only view job openings that fit their profile.
Candidates will have two options for uploading their details, namely;
- Upload Resume
Once the candidate uploads their resume, Zia will match the candidate skills with the requirements of the job and present them with a list of jobs that match their profile. - Enter Skills & Experience
Candidates can enter their skills and experience manually based on which we will match their profile with available jobs and present them with a list of matching jobs.
Create Portal Account
Streamline your hiring process and make it candidate-friendly. Zia registers candidates to your Candidate Portal, enabling you to grow your talent pool passively and provide candidates with a means to apply, track their application, and land their dream job.
- Candidates can create an account in your portal directly from the chatbot.
- Zia will get the candidate's resume and use the data to create a profile. If any relevant data is missing, the candidate will need to enter it manually.
Note:
If candidates select the Register to Portal option directly, they will be prompted to upload their resume. Once the upload is done, they will be asked to fill-in mandatory fields and upload relevant attachments.
Here's how this works....
A candidate record has sections such as Basic Info, Professional Details, Attachments, and others. If a section contains at least one mandatory field that cannot be auto-filled from the candidate's resume, the section is displayed to them in the chatbot. This helps you collect information and documents helpful for streamlining your recruitment process.
Track existing applications
Candidates often get overwhelmed by the number of jobs they are eligible for and struggle to manage their applications manually. Zia makes life easier by providing a list of jobs they have applied for. Once this process is completed, a verification link will be sent to the candidate's email address, allowing them to authenticate their account and add their profile to your portal.
Note:
- Candidates are required to provide consent for their information in order to access the chatbot.
- While displaying Matching Job, only the Posting title, Location and the Job Type will be shown to the candidate.
- A maximum of 10 jobs only will be displayed to the candidate by Zia.
- The Client's contact details will not be displayed to the candidate.
- Only the fields which you have enabled in the candidate portal setup will be used by the chatbot.
- Support for attachments (Cover letter & Others) will be added in the future.
