The Screening Bot automates pre-screening assessments by allowing candidates to take tests for the jobs they’ve applied for. This ensures a smoother screening process, helping recruiters efficiently identify qualified candidates.

dHow to enable screening bot
- Go to Setup > Zia > Chatbot. Enable the toggle and click Manage under Screening Bot.

Firstly, personalize the chatbot with a Name and Welcome Message in the Bot Details section.
- You can then configure the following under the Screening Bot Configuration section:

- Auto-trigger Screening Bot
This option lets you automatically send pre-screening assessments (using Screening Bot) to candidates. In case they have missed or not taken their pre-screening assessment yet, they will receive the assessment via email.
- If you wish to enable the workflow rule, click the Activate Workflow Rule button. While viewing the workflow rule, click More (three dots) > Activate.

- Once activated, the status will be reflected in the Screening Bot setup page.

- Screening Result
Enabling this option lets you display the result the bot window once candidates complete their pre-screening assessment. You can specify templated messages to be displayed upon Completion and Disqualification.
- Allow Candidate Notes
This option lets you collect feedback and queries from candidates after they have completed their pre-screening assessment. Their query will then be added as a note to the respective candidate record with the title Screening Bot Feedback.
- Candidates will then be able to take screening tests for the jobs they have applied for, directly from your Career Site or Candidate Portal.
- Once they have applied for a job, they will need to choose the My Applications option to view their job applications. They will then need to click Start Screening Test for the job they wish to take the test for.

- After candidates finish and submit their screening test, their answers will be stored under the Answered Assessments section of their respective records in the Candidates module.

- You will be notified about this via an alert (in-product) in the Notification section.
Note:
The workflow rule used to automatically send out pre-screening assessments belongs to the Reviews sub-module and can be found under Setup > Automation > Workflow Rules under the name Screening Bot Automation Rule.
How will this work IRL?
Let’s say you are hiring for a Senior Sales Executive role and have attached a pre-screening assessment with qualifier questions such as minimum experience or willingness to relocate.
Step #1: Candidate applies
A candidate applies through your Career Site or Candidate Portal. Since the job has an attached assessment and Auto-trigger Screening Bot is enabled, the system automatically sends the assessment link via email if the test has not yet been taken.
Step #2: Candidate gets screened
The candidate clicks the link, provides consent, and completes the screening test in a conversational chat format.
Step #3: Qualifier Evaluation
If the candidate fails a qualifier question, they are automatically disqualified and shown the configured disqualification message. If they pass, the assessment is successfully completed and recorded.
Step #4: Recruiter Updates
The candidate’s responses are stored under Answered Assessments in their record. The recruiter receives an in-product notification, and the activity is logged in the Timeline and Activity Log.
Step #5: Candidate Feedback
If Allow Candidate Notes is enabled, the candidate can share feedback after completing the test. This is added as a note to both the candidate and job records.
In practice, the Screening Bot automatically follows up with candidates, applies qualifier logic instantly, and keeps all records updated without manual intervention.
How are candidates disqualified?
In Zoho Recruit's Assessments, Qualifier Questions are specific questions used to determine whether a candidate meets the minimum criteria for a job. These questions work like filters, candidates who answer them incorrectly can be automatically disqualified. See More What are Qualifier Questions?

Now, while configuring the screening bot, you can choose to display the Screening Result of a candidate within the bot itself. If a candidate answers a Qualifier Question incorrectly while taking a bot screening test, the disqualification message configured in the setup page will be displayed within the bot window.
For example, Are you willing to relocate? can be a qualifier question in a screening test, to which if a candidate answers No, they will be disqualified in their test.

Emailing screening bot tests to candidates
As you may already know, you can send pre-screening assessments to candidates via email in Zoho Recruit (using the Submit Assessment - Candidate email template). Similarly, the screening bot has it own email template named Send Assessment - Screening Bot you can find under Setup > Customization > Templates > Email Templates.

Alternatively, you can also choose to edit the Submit Assessment - Candidate template and include the Bot URL (instead of the Assessment Form). While editing the template, select the Bot option under Include Assessment As.

Follow the steps given below send a bot assessment to candidates;
Go to the Candidates module and select the candidate you wish to send the bot assessment to and click the Send Email icon.

Alternatively, you can also send assessments in bulk from the List View page.

Choose Send Assessment - Screening Bot under Choose Email Template and select which job opening you wish to screen them for under Select a Job Opening. Click Send when you are done.

The candidate will then receive the email with the Assessment Bot Link in their inbox.

Upon clicking the link, the Screening Bot page will be opened in a new tab. They can begin their screening test once they submit their consent by clicking Yes, I Agree.

Important Note:
You will be shown the following error if you try to send emails using the Send Assessment - Screening Bot template when the chatbot feature is disabled.
You can choose to proceed with sending the email and use the Assessment Form option instead or enable bot if you wish to use Screening Bot.
Candidate Notes (Post Screening)
If you have enabled the Allow Candidate Notes toggle under Setup > Zia > Chatbot > Screening Bot, then candidates will be able to share their feedback after completing their screening test. This helps recruiters understand the candidate's experience, any doubts they have related to the job opening, follow-up questions about the screening test, their availability and more.
The feedback shared by the candidate will be added as a note to both the job opening and candidate record in your Recruit account. This note will be marked with the Candidate Note tag for added context.
Activity Log & Timeline
Whenever a candidate answers a test via the screening bot, it will be logged under Setup > Data Administration > Activity Log.
Additionally, this is also logged under the Timeline sub-tab of the candidate record.
