Generating AI Summaries of Records

Recruiters often switch between multiple tabs and related records to understand the complete context behind a hiring record. Information such as candidate details, job role, interview feedback, notes, emails, assessments, and associated activities are often spread across different sections, making it time-consuming to piece everything together.

Record Summary, powered by Zia, helps solve this by generating a concise overview of a record using information from the record and its related records. Instead of manually navigating through multiple tabs, recruiters can quickly understand the most important updates, activities, recommended action and context from a single summary.

This helps teams:
  1. Get a quick overview of a record without opening multiple related tabs.
  2. Understand the latest updates and interactions at a glance.
  3. Reduce manual effort spent reviewing record details.
  4. Improve collaboration between recruiters, hiring managers, and stakeholders.
  5. Make faster and more informed decisions using recomended actions.
Depending on the module and available data, Zia analyzes the record and generates a contextual summary that highlights the most relevant information.

Enabling Record Summary  

  1. Go to Setup > Zia > Zia Summary.

  2. Turn on the Record Summary toggle.

  3. Set the summary language and click Save.

Generating a Record Summary  

Once Record Summary is enabled, you can access summaries from both the list view and detail page.

From the list view:

  1. Navigate to a supported module.

  2. Click the Record Summary option next to a record in the list view.
      

From the detail page:

  1.  Navigate to a record in a supported module.

  2. Click the Record Summary option.

  3. Zia will analyze the record along with its related records and generate a contextual summary.

NotesNotes:

  • Record Summary is generated based on the information available within the record and its related records. The accuracy of the summary depends on the completeness of the available data.

  • Generated summaries are intended to assist users and should be reviewed before making hiring decisions.

  • Record summaries cannot be generated for records locked under GDPR. Related records locked under GDPR will also be excluded from the summary.

  • For each related list, only the three most recently modified records are considered while generating the summary.
