Route Reports

Create reports to analyse your field team's planned vs. actual visit, time and mileage details with their deviations. There are two major types of reports that you can generate here. One is the RIQ Routes Report and the other is the RIQ Field Visits Report. RIQ Routes Reports cover entire routes whereas RIQ Field Visits Reports provide you with the fine details about each individual stop along your route.

How to Create a Route Report   

      1. Open the Reports module in Zoho CRM


  1. Click Create Report.


  1. Select RIQ Routes as your primary module.


  1. Click on rename option

    1. Rename the report

    2. Add a description

    3. Add it to a folder

    4. Click "Save"



   5. Click Continue


The report configuration page will open; here you can add the required columns, apply date and advanced filters, etc.

  1. Add the necessary columns.

    1. You can group rows based on fields like Route Status, Owner, etc.

    2. You can aggregate numerical columns based on fields like planned visits, travel distance (Mileage Details), etc.



There are several columns you can choose from while building your report. They are:

Actual Travel Distance (km)The actual distance that the user has travelled, in kilometres

Completed VisitsThe total number of visits the user had completed
Total Actual Visits Duration (mins)The total amount of time the user spent on completed visits
Route StatusThe status of the route (Planned, Inprogress, Skipped, Completed)
MetaCreated ByThe user in your organization who created the route
Created TimeThe time at which your route was created
Modified ByThe user in your organization who modified the route
Modified TimeThe time at which your route was modified
Record IdThe unique system-generated identifier for the respective route record in Zoho CRM
RIQ Record IDThe unique system-generated identifier for the respective route in RouteIQ
RIQ Route NameThe name of the route
RIQ Route OwnerThe owner of the route
DeviationTravel Distance Deviation (km)Difference between the planned and actual travel distance, in kilometres

7. Click Filters and apply the necessary filters
    1. You can add date filters based fields like Planned or Actual Start Time

    2. You can add advanced filter criteria based on fields like Route Status, Owner, etc.


  1. Click Run to have a view of the report and save if you wish to save it for future use.


  1. Now the report will be viewed with all the configurations applied.

 

Under RIQ Route Reports, there are 2 types that you can create. They are:

  1. Basic Route Reports

  2. Advanced Route Reports

Basic Route Reports   

With basic route reports, you will be able to create reports with route planned details only and not the actual details. The planned route details are available in the RIQ Routes module.

 

Feature Availability: Available in the Standard Plan

 

For example: You could analyse the planned travel distance (Mileage Tracking) but to compare it with the actual travelled distance and the deviation, you would need the Professional plan.

 

Advanced Route Reports 
  

With advanced route reports you will be able to create reports with a route's planned, actual and deviation details. The route details are available in the RIQ Routes module.

 

Feature Availability: Available in the Professional Plan

 

For example: You could create reports to analyze how many stops you planned to visit and compare it with the completed visits.

 RIQ Field Visits Report 

RIQ Field Visits Report helps users to study insights from the stops along their routes like how many of the stops were actually visited and how many other visits were skipped. As opposed to the RIQ Routes Report which provides you information on entire routes, the RIQ Field Visit Insights Report gives you details about all of the stops along the way thereby giving you even more deep-drilled knowledge on how your field operations are performing.

This report gives you a complete view of your team’s field activities; from the moment they start their day to the moment they finish. It combines visit data, route performance, location accuracy, and follow-up actions so you can measure productivity and identify improvements.

Here is how you can generate a RIQ Field Visits Insights Report:

  1. Log in to your Zoho CRM account

  2. Navigate to the Reports section

  3. Click "Create Report"

  4. In the "Select Primary Module" field, choose "RIQ Field Visits" and click "Continue".



  5. In the next page, choose "RIQ Routes" as the parent module and the relevant child module you want displayed in your report.



  6. Choose the columns you want displayed in your report.

    Note: To avoid the accidental grouping of different routes that share the same name, row group by the RIQ Record ID field first, and then by RIQ Route Name.           


There are several fields you can choose to edit in as your columns while building your report. The most important ones are:

The real length of the visit in minutes, based on check-in and check-out timings.

Actual Visit Order

 

The sequence in which the visit was actually carried out.

Visit Status

 

The current state of the visit (1. Planned 2. In-progress 3. Visited 4. Visited in different order 5. Skipped).

Visit Type

The category of the visit (1. Origin 2. Destination 3. Stop).

Check-in

Check-in By

The user who performed the check-in.

Check-in Latitude

The latitude captured at check-in.

Check-in Longitude

The longitude captured at check-in.

Check-in Time

The actual timestamp when the check-in was done.

Check-in Time Deviation (mins)

The difference (in minutes) between planned start and actual check-in time.

Check-in Location Deviation (km)

The distance (in km) between the planned location and the actual check-in location.

Check-in Location Deviation (miles)

The distance (in miles) between the planned location and the actual check-in location.

Check-out

Check-out By

The user who performed the check-out.

Check-out Latitude

The latitude coordinate captured at check-out.

Check-out Longitude

The longitude coordinate captured at check-out.

Check-out Time

The actual timestamp when the check-out was done.

Check-out Time Deviation (mins)

The difference (in minutes) between planned end and actual check-out time.

Check-out Location Deviation (km)

The distance (in km) between the planned location and the actual check-out location.

Check-out Location Deviation (miles)

The distance (in miles) between the planned location and the actual check-out location.

Meta Information

RIQ Field Visit Name

The system-generated or user-given name for that stop.

RIQ Field Visit Owner

The user responsible for the field visit.

RIQ Route Name

The name of the route the visit belongs to.

RIQ Stop ID

The unique identifier of the stop in the route. (RouteIQ)

Created By

The user who added this stop to the route.

Created Time

The timestamp when the record was first created.

Modified By

The user who last updated the record.

Modified Time

The timestamp when the record was last updated.

Record Id

The unique system identifier of the field visit record. (Zoho CRM)

Stop Information

Associated Record ID

The unique identifier of the linked CRM record (e.g., Account, Contact, Lead).

Associated Record Module API Name

The CRM module's API name (e.g., Accounts, Contacts, Leads) the record belongs to.

Associated Record URL

The direct link/URL to open the associated CRM record.

 

Among these, choose the ones you would like to see in your report.

  1. Choose "Run" and then "Save" your report by giving it a name and storing it in a relevant folder.

This report gives you evidence of real world execution and not just planned visits. By comparing planned routes versus performed ones, you can spot patterns, identify them, track field sales teams' efficiency, and calculate just how much of a gap there is between your planning and execution.
